Job Description

We are seeking an experienced Payroll Specialist with a strong background in construction and union payroll to manage weekly and bi-weekly payroll operations. This role requires deep knowledge of union agreements, certified payroll, and multi-state compliance, along with the ability to support reporting, accounting, and operational processes. The ideal candidate is detail-oriented, highly organized, and comfortable working in a fast-paced, project-driven environment. Responsibilities Process full-cycle weekly and bi-weekly payroll, including union and non-union employees Interpret and apply collective bargaining agreements (CBAs), including union rates, fringes, and deductions Prepare and submit certified payroll reports in compliance with prevailing wage laws (e.g., Davis-Bacon) Maintain accurate payroll records, including new hires, terminations, and employee changes Administer garnishments, benefits, and union-related contributions Reconcile payroll data, support general ledger postings, and assist with month-end close Generate payroll reports and perform variance analysis to ensure accuracy and compliance Respond to employee and union inquiries and support audits as needed Partner with HR and Accounting to ensure alignment across systems and processes Qualifications 3-6+ years of payroll experience, with direct experience in construction and union environments Strong knowledge of union payroll, CBAs, certified payroll reporting, and prevailing wage requirements Experience processing multi-state payroll Proficiency with payroll systems (e.g., ADP, Viewpoint, Foundation, or similar) Strong Excel skills and attention to detail Ability to manage sensitive information with a high level of confidentiality Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
