POSITION SUMMARY
This position is responsible for weekly payroll processing, maintenance/oversight of employee time records and schedules, weekly tax payments, quarterly and yearly reporting/filings, and other applicable payroll duties for multiple legal entities.
PAYROLL ESSENTIAL RESPONSIBILITIES AND DUTIES
Accurately prepares preliminary work-up of all new employees and all necessary data changes prior to payroll processing. Processes payrolls in accordance with FLSA and Minnesota statutes and in a timely and accurate manner. Maintains a check and balance system to ensure accuracy in payroll processing. Processes wage assignments, levies, garnishments and deductions according to all federal and state regulations and in a timely manner. Responds to requests for employee payroll information from facilities and outside agencies. Assists with federal and state mandated reports and surveys in an accurate and timely manner. Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge. Records and processes federal and state payroll tax deposits. Prepares quarterly and yearly payroll statements and returns, including employee W2s.
TIMEKEEPING ESSENTIAL RESPONSIBILITIES AND DUTIES
Works with facility Department Directors and Administrators to ensure timecards and schedules are being frequently maintained. Reviews timecards and schedules throughout pay period. Completes final review of timecards at the end of each pay period to look for any discrepancies. Runs multiple timekeeping and scheduling reports to ensure accuracy. Enters all online learning hours for employees. Promotes and Establishes Healthy Relationships and Uses Professional Conduct with Supervisors, Other Healthcare Professionals, Residents, Families, Visitors, and Co-workers Arrives at work area on time and ready to begin work. Is able to prioritize and be organized and efficient when interacting and communication. Follows policy on absenteeism, tardiness, and call-ins as outlined in Personnel Policy Manual. Follows dress code and limits personal phone calls. Is courteous and cooperative with residents, families, visitors, supervisors and coworkers. Promotes a positive and professional image both in the company and in the community. Maintains resident confidentiality at all times. Understands the need for complete privacy of all health care data. Abides by and promotes the Continuous Improvement Program of Monarch Healthcare Management. Answers phones professionally, directs calls expediently, greets visitors and provides directions as needed. Maintain Current Levels of Education and Facilitate the Implementation of New Policies and Procedures with the Facility Attends meetings as directed to include departmental meetings, Continuous Quality Improvement meetings, etc. Attends continuing education/in-services pertinent to your department and designated by Occupational Health and Learning. Attends educational programs on Continuous Quality Improvement, customer satisfaction and other such programs. Participates in inspections and audits as designated. Maintains and applies knowledge of current policies and procedures as outlined by Monarch Healthcare Management. Is knowledgeable of and abides by the importance of the Residents' Bill of Rights.
QUALIFICATIONS
Required:
At least 2 years of experience in payroll within a large organization. Proficient in Microsoft Excel. Excellent organizational skills and attention to detail. Strong problem-solving skills and the ability to work independently.
Preferred:
Experience in HRIS software. Experience with processing and reporting payroll taxes. Experience with quarterly/yearly payroll reporting/filings. Skills and Abilities Knowledge of accounting principles. Familiar with office equipment and proficient in typing and/or computer skills. Able to perform essential functions of the position with or without reasonable accommodation. Must qualify for employment, after criminal background check, per guidelines of the Minnesota Department of Human Services.
