Job Summary:
The Compliance & Administrative Specialist plays a key role in supporting certified payroll reporting, general accounting functions, and daily office operations. This position serves as a backup to the front desk, assists with administrative tasks across departments, and helps ensure compliance with prevailing wage and payroll regulations. This role is ideal for someone who is detail-oriented, dependable, and comfortable working in a fast-paced, blue-collar environment with both field and office teams.

Job Duties & Requirements:

Prepare and submit certified payroll reports in compliance with federal and state (prevailing wage) requirements
Review payroll data for accuracy, including classifications, wage rates, and fringe allocations
Maintain organized records to support audits and compliance reviews
Assist with gathering documentation and responding to payroll-related audits or inquiries
Accounting Support
Assist with AP processing and data entry as needed
Support accounts payable/receivable functions, including invoice entry and tracking
Help reconcile credit cards and other purchases
Administrative & Office Support
Provide backup support to the front desk, including answering phones and greeting visitors
Route calls and inquiries to appropriate departments in a professional manner
Assist with general administrative duties such as filing, scanning, data entry, and document preparation
Support internal reporting and tracking using Excel and other Microsoft Office tools
Cross-Functional Support
Work closely with accounting and other teams to ensure accurate and timely information flow
Assist with special projects and provide administrative support as needed
Preferred Education and Experience:
3+ years of administrative, payroll, or accounting support experience preferred
Exposure to certified payroll, prevailing wage, or payroll compliance strongly preferred
Experience working in construction, manufacturing, or similar blue-collar environment a plus
Proficiency in Microsoft Office (Excel, Word, Outlook)
Strong attention to detail and organizational skills
Ability to handle multiple priorities and meet deadlines
Strong communication skills and a professional, team-oriented approach
