Job Description

Prevailing Wage Payroll Coordinator The Prevailing Wage Payroll Coordinator supports and oversees certified and prevailing wage payroll activities within LaborMax Staffing's complex, multi-state, multi-entity organization. This role ensures prevailing wage and certified payroll jobs are processed accurately, reported timely, and maintained in compliance with applicable federal, state, local, client, and project requirements. The Prevailing Wage Payroll Coordinator serves as a central resource for LaborMax branches performing prevailing wage work and acts as a liaison with clients and governmental agencies when necessary. The ideal candidate is self-directed, analytical, technologically proficient, customer-service focused, and comfortable managing multiple priorities and compliance deadlines. Strong attention to detail and critical-thinking skills are essential.
General Responsibilities:
The Prevailing Wage Payroll Coordinator reports directly to the Payroll Manager or as otherwise assigned. Descriptions and Functions Essential Functions and Responsibilities Essential functions and responsibilities include, but are not limited to: Oversee prevailing wage and certified payroll jobs across LaborMax branches, ensuring required client, project, and employee documentation is obtained accurately and timely. Review wage determinations, classifications, pay rates, fringe benefit requirements, deductions, and other project-specific requirements to support accurate payroll processing and compliance. Prepare, process, and submit required certified payroll and prevailing wage reports in accordance with federal, state, local, client, and project requirements. systems Email and physical mail Other client- or agency-required reporting platforms Identify missing, incomplete, inaccurate, or inconsistent information and promptly communicate concerns to the appropriate branch, client, or internal department. Manage and oversee variance resolution, including restitution payments, unauthorized deduction reimbursements, wage rate corrections, classification changes, and retroactive payroll adjustments. Work collaboratively with branches to ensure timely communication and processing of wage determination changes, job assignment changes, and retroactive job modifications. Serve as the primary resource for LaborMax branches regarding prevailing wage and certified payroll requirements, procedures, and best practices. Develop, maintain, and communicate LaborMax procedures for prevailing wage and certified payroll processing. Train branch personnel on prevailing wage and certified payroll requirements, including required documentation, processing procedures, deadlines, and reporting expectations. Research and respond to prevailing wage and certified payroll questions from Field Team Members, LaborMax clients, employees, and internal departments while providing excellent customer service. Maintain accurate prevailing wage and certified payroll information within MaxPro and other applicable systems while protecting overall data integrity. Work with clients, state agencies, federal agencies, contracting authorities, and other entities regarding audits, compliance reviews, documentation requests, and payroll inquiries. Monitor changes to federal, state, and local prevailing wage and certified payroll regulations and maintain knowledge of industry best practices. Assist with payroll tax compliance activities, including payroll tax filings, payments, reconciliations, historical notices, and year-end W-2 processing. Assist with internal payroll processing as needed. Participate in special projects and perform other payroll-related duties as assigned.

Skills, Knowledge and Abilities:
Previous experience processing prevailing wage and/or certified payroll. Strong understanding of payroll processes and payroll compliance. Self-starter who can hit the ground running with little to no guidance. Knowledge of prevailing wage and certified payroll requirements or the ability to quickly develop expertise in these areas. Strong analytical and mathematical skills with the ability to identify discrepancies and resolve payroll-related issues. Excellent attention to detail with a strong commitment to accuracy, compliance, and minimizing errors and rework. Strong organizational and time-management skills with the ability to manage multiple projects and competing deadlines. Ability to prioritize urgent compliance matters and exercise sound judgment when determining appropriate courses of action. Strong written and verbal communication skills. Excellent customer service skills, including the ability to professionally manage and de-escalate challenging or sensitive situations. Ability to communicate complex payroll and compliance requirements clearly to employees, branch personnel, clients, and other stakeholders. Proficiency with Microsoft Excel, including formulas, functions, data management, and reconciliation. Comfortable learning and working with multiple payroll, reporting, client, and governmental technology platforms. Self-motivated and self-directed with strong critical-thinking and problem-solving skills. Ability to work independently while collaborating effectively with payroll, branch operations, clients, and other departments. Ability to maintain confidentiality when handling employee payroll and personally identifiable information.
Education/Experience:
Experience with federal and state prevailing wage requirements, including Davis-Bacon or similar state prevailing wage programs. Experience reviewing wage determinations, employee classifications, fringe benefit requirements, deductions, and certified payroll reports. Experience with multi-state payroll processing. Experience with payroll tax compliance, including federal and state payroll tax filings and reconciliations. Experience with Forms 940 and 941 and year-end W-2 processing. Experience working with certified payroll reporting platforms such as LCPtracker or similar systems. Experience communicating with governmental agencies, contracting authorities, clients, and auditors.
Work Requirements:
This position operates in a fast-paced environment with frequent deadlines, interruptions, and interactions with a wide variety of internal and external stakeholders. The Prevailing Wage Payroll Coordinator must be able to manage weekly, monthly, quarterly, and annual compliance deadlines while maintaining a high degree of accuracy. Occasional evening, weekend, and holiday work may be required during critical payroll, reporting, audit, or compliance deadlines.
Physical Demands and Abilities:
The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of the job. Ability to sit for extended periods while working at a computer. Ability to regularly stand, walk, and use hands to operate standard office equipment. Ability to lift or move 15 pounds occasionally, such as files, reports, or office supplies. Visual acuity for reading, reviewing, and analyzing payroll documentation and reports. Prevailing Wage Payroll Coordinator:
primarily responsible for certified and prevailing wage payroll compliance, reporting, and branch support across LaborMax's multi-state operations.
