This role is responsible for union payroll processing, reporting, compliance support, and payroll-related employee service across multiple states. This position works closely with Payroll, HR, Operations, and Accounting to ensure employee setup, timecard review, union reporting, deductions, certified payroll, and job-specific payroll requirements are completed accurately and in accordance with applicable deadlines. Essential Duties and Responsibilities
- Support full-cycle weekly payroll processing for union and non-union field employees across multiple states
- Review, audit, and process employee timecards in partnership with the Payroll Manager, including researching and correcting discrepancies
- Prepare and process weekly union payroll and related benefit payments
- Complete monthly union reporting across multiple trades while maintaining compliance with due dates and remittance requirements
- Complete verification of employment requests
- Submit and set up garnishment orders
- Set up employee insurance deductions and other payroll-related deductions as needed
- Assist employees with payroll questions, corrections, and employee self-service guidance
- Maintain and update union rates, classifications, deductions, and out-of-state payroll requirements
- Research payroll requirements for new state setups and project locations
- Support certified payroll reporting and prevailing wage compliance
- Coordinate OCIP and CCIP reporting, including tracking job-specific hours and payroll data
- Assist with OCIP and CCIP setup and documentation tracking for applicable projects
- Support payroll-related audits, including union audits and wrap-up insurance audits
- Research and respond to payroll, union, and wage-related inquiries from field employees and leadership
- Partner with HR, Payroll, Operations, and Accounting to ensure accurate employee setup, classifications, deductions, and cost tracking
- Serve as a payroll backup and share processing responsibilities to ensure continuity of payroll operations Required Qualifications
- Minimum of 2 years of payroll experience required
- Multi-state payroll experience required
- Strong understanding of payroll deadlines, reporting requirements, and compliance obligations
- Ability to review payroll data, identify discrepancies, and research corrections with accuracy
- High attention to detail with strong organizational, problem-solving, and follow-through skills
- Ability to manage multiple deadlines across payroll cycles, union reporting, audits, and jurisdictional requirements
- Professional communication skills with the ability to support employees, field leadership, and internal departments Preferred Qualifications
- Construction payroll experience preferred
- Union payroll experience preferred
- Experience supporting payroll for a high-volume field workforce preferred
- Experience with union reporting, certified payroll, prevailing wage, OCIP, and CCIP reporting preferred
- Experience with construction payroll systems such as Vista, HeavyJob, or similar platforms preferred Work Environment This is an office-based role supporting active construction operations and a large field workforce.
