In this vital role, you will provide general office and reception support for smooth operational workflows while ensuring financial and payroll transactions are accurate and comply with regulations.
Responsibilities Communication Hub:
Answering, screening, and forwarding incoming calls, emails and correspondence
Front Desk Management:
Greetings visitors warmly and directing them to the appropriate person
Administrative Support:
Scheduling appointments, managing calendars, arranging travel, filing documents, updating records and managing office supplies
Payroll Processing:
Calculate and process hourly wages, salaries, bonuses, and overtime for weekly payroll cycle
Data Maintenance:
Ensures the processing of new hires and updates payroll records in the payroll system
Compliance:
Ensure compliance with federal, state, and local payroll tax regulations, including 941 filings and garnishments
Reporting & Auditing:
Reconcile payroll prior to transmission and prepare reports
Financial Support:
Assisting with bookkeeping, processing expense reports, reconciling invoices
Document Preparation:
Drafting and editing memos, letters, invoices, and reports; transcribing meeting minutes and preparing presentation materials Qualifications Proven experience in a similar role. Excellent computer skills. Must be able to organize own work, set priorities and meet critical deadlines. Ability to multitask while managing a busy workload. Ability to complete assigned tasks within given deadlines. Ability to work at a sustained pace and produce quality work. Ability to review and verify accuracy of data.
