As a key member of the Accounting team at one of the nation's leading full-service flooring contractors, the Payroll Coordinator is responsible for accurately and efficiently processing payroll for both union and non-union employees. This includes maintaining compliance with all relevant laws, handling payroll inquiries, and working cross-functionally with HR, Finance, and external vendors. This role requires a high level of discretion, organization, and payroll expertise to support weekly union and biweekly office payroll cycles.
JOB DUTIES AND RESPONSIBILITIES
  • Process weekly payroll for union employees and biweekly payroll for salaried and hourly office staff.
  • Review and validate timekeeping records, ensuring proper approvals and resolving any discrepancies.
  • Calculate wages, overtime, shift differentials, bonuses, and other payroll-related adjustments.
  • Ensure compliance with federal, state, and local payroll laws, including garnishments, tax withholdings, and reporting requirements.
  • Maintain accurate and confidential payroll records, including employee profiles, tax documents, and direct deposit information.
  • Handle benefit deductions, retirement contributions, and other withholdings.
  • Coordinate year-end payroll processes including W-2 and 1099 preparation and distribution.
  • Respond promptly to employee inquiries regarding pay, deductions, taxes, and leave balances.
  • Collaborate with HR to ensure alignment between payroll and employee benefits, leave, and compensation changes.
  • Prepare payroll reports and summaries for internal departments and external audits.
  • Stay current with changes in payroll legislation and system upgrades, ensuring full compliance.
  • Assist with special projects related to payroll audits, reporting, or system implementations.
SKILLS REQUIRED
  • Associate's or Bachelor's degree in Accounting, Finance, or Business preferred.
  • Minimum 2 years of hands-on payroll experience; experience with multi-state and/or union payroll strongly preferred.
  • Familiarity with payroll software such as ADP, Paycom, Vista, or similar platforms.
  • Proficiency in Microsoft Office Suite, especially Excel (pivot tables, v-lookups, formulas).
  • Strong analytical and organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information with the utmost professionalism.
  • Knowledge of prevailing wage regulations, union labor standards, and certified payroll reporting is a plus.
