POSITION OVERVIEW
The Payroll Specialist is responsible for the accuracy, compliance, and timely submission of all employee payroll at WSI Southwest, Inc. This role monitors daily employee time tracking in Job Tread, verifies timesheet accuracy against supervisor daily logs, identifies and resolves discrepancies with foremen and employees, and submits payroll to WSI's payroll service (Gusto) by the weekly deadline. This position does not handle HR onboarding — that is managed separately by the Onboarding Specialist.
PRIMARY RESPONSIBILITIES
Daily Timesheet Monitoring & Compliance Monitor employee timesheets daily in Job Tread across all active projects. Verify that all employees are clocked in to the correct job and task in Job Tread. Compare employee timecards against the supervisor's daily log for each project — verify time matches, employee is listed on the log, equipment is documented, and photos are posted. Identify and document all discrepancies using the WSI Job Tread Compliance Tracking Spreadsheet, including: no daily log posted, employee not on supervisor's daily log, equipment missing from daily log, incorrect time on daily log, incorrect time on timecard, clocked into wrong job, and no photos on daily log. Provide the completed compliance tracking spreadsheet to the project foreman for correction of identified discrepancies. Follow up with foremen and employees to ensure all corrections are made prior to payroll submission. Payroll Processing & Submission Collect all approved employee timesheets by end of day Sunday each week (payroll period: Monday-Sunday). Verify all timesheet data is accurate, complete, and approved before upload. Upload all employee time data to Gusto (WSI's payroll service) by end of day Tuesday. Verify payroll submission is complete and confirmed in Gusto before the Tuesday deadline. Maintain records of all payroll submissions for audit and reference purposes. Identify and escalate any payroll submission issues to the Office Manager immediately. JobTread & Job Ticket Accuracy Verify that all job ticket time entries in Job Tread are assigned to the correct job and task. Cross-reference job ticket entries against supervisor daily logs to confirm accuracy. Identify missing, incomplete, or incorrect job ticket entries and coordinate corrections with the foreman. Ensure all billable time is captured accurately per project in Job Tread. Reporting & Communication Generate and distribute the weekly Job Tread compliance tracking report to all project foremen. Communicate all timesheet discrepancies professionally and promptly to foremen and employees. Report recurring compliance issues or patterns to the Office Manager. Maintain accurate and organized payroll and compliance records in accordance with WSI policies. Systems & Tools Operate Gusto payroll platform as the primary payroll submission tool. Operate Job Tread project management software for daily timesheet and compliance monitoring. Utilize Microsoft Office Suite (Excel, Word, Outlook) for reporting, tracking, and communication. Maintain and update the WSI Job Tread Compliance Tracking Spreadsheet weekly. Operate QuickBooks as needed for payroll-related accounting functions. Key Skills & Qualifications Minimum 2 years of experience in payroll, accounting, or a similar administrative role. Experience with Gusto payroll platform preferred; similar payroll software experience accepted. Experience with Job Tread or similar project management/time tracking software preferred. Proficiency in Microsoft Office Suite — Excel, Word, and Outlook required. QuickBooks experience preferred. Strong attention to detail — accuracy in payroll processing is non-negotiable. Excellent organizational and time management skills — must meet strict weekly deadlines. Strong communication skills — must professionally address discrepancies with foremen and employees. Ability to maintain confidentiality of all payroll and employee information. WSI is willing to train the right candidate with relevant foundational experience.
