Job Description

The Payroll Coordinator provides support to the managed communities with accurate and timely processing of payroll. This position collaborates closely with the Corporate HR and Finance departments to collect and verify payroll data, handle employee inquiries, and maintain payroll records.
DUTIES AND KEY RESPONSIBILITIES
Perform payroll coverage for managed communities in the absence of Business Office Managers. Ensure accurate and timely processing of payroll in compliance with federal, state, and local regulations. Administer the accurate input of new employees, transfers, and employee work time. Review and reconcile payroll reports for accuracy and resolve discrepancies. Assist with trouble-shooting payroll-related issues, bringing them to appropriate resolution and document same for file. Ensure compliance with company policies, applicable laws, including tax regulations and wage and hour laws. Respond to payroll-related inquiries from employees and regulatory agencies. Manage and maintain the payroll system, ensuring data integrity and system functionality. Collaborate with IT and HRIS teams to implement upgrades, enhancements, and system integrations. Generate payroll reports as needed. Train new BOMs on payroll processes and provide guidance, coaching, and support. Collaborate with HR team to ensure accurate and timely administration of employee benefits, including deductions, enrollments, and terminations. Coordinate with HR team, benefits providers and carriers to resolve issues and ensure compliance. Implement best practices and automation to enhance efficiency and accuracy. Create How-To guides for payroll related processes. Collaborate with cross-functional teams to integrate payroll processes with other HR and finance functions. Support internal and external payroll/benefits related audits. Ensure payroll records and documentation are organized and readily available for audit purposes. Submit CHRC during onboarding for Home Office team members. Reconcile Criminal History Records Check (CHRC) spenddown from each community. Review and process benefit invoices for the home office and for the communities in the absence of DAS or as directed by supervisor All other tasks as directed by Payroll Manager or VPHR. Qualifications Bachelor's degree in Accounting, Finance, or a related field preferred. Certified Payroll Professional (CPP) designation is preferred. 3+ years of experience in payroll administration, with a focus on multi-site or corporate payroll management. 3+ Years of experience with UKG Pro/WFM In-depth knowledge of payroll regulations, tax laws, and wage and hour requirements. Proficiency in payroll software and systems. Strong analytical and problem-solving skills. Excellent attention to detail and accuracy. Solid understanding of HR and benefits administration processes. Strong organizational and time management abilities. Effective communication and interpersonal skills. Ability to maintain confidentiality and handle sensitive information. Must be flexible with time to ensure routine work and project completion.
