Job Description
Under supervision of the Associate Director, Payroll & Tax, the Payroll Associate is responsible for the confidential, timely and accurate processing of payroll using the College's, campus-wide enterprise system and its electronic timekeeping system. The Payroll Associate will assist in providing support and technical services to ensure the efficient processing of assigned institutional payroll under the responsibility of the department of human resources. This is a full time, Administrative and Staff position, working 40 hours per week. Responsibilities Duties/essential functions may include, but not be limited to, the following: Completes all payroll processing steps, including insurance, leave, benefit and tax calculations, and intervenes with changes within the payroll system enter when necessary. Assists in the review of submitted time for accuracy and contacts supervisors as necessary. Enters late submitted timecards/sheets for payment into applicable payroll events. Works with HRIS and Student Employment to re-open previously closed positions for employee payments. Enters changes that may impact pay that are necessary for payroll processing. Processes reconciling of all taxes, garnishments, union dues, and other liabilities before payroll is completed. Processes all payments from each pay event for taxes, garnishments, union dues, child support, rent, and all other miscellaneous deductions. Prepares electronic documentation of deductions from pay event and submits to the Controller's office for their reconciliation. Monitors approved employee leave (ex: vacation, illness, FMLA, disability status, etc) and makes adjustments to employee pay accordingly. Verifies, calculates and processes paid leave time balances sick upon termination. Calculates and processes adjustment payments as needed Processes ACH returns from the bank to applicable employees due to closed/un-located accounts. Re-processes stale dated and/or lost checks. Assists with preparation of annual W2 forms. Assists with identifying improper system setups and inefficiencies and strategizing. Assists with creation and updates of tickets with HR systems support and Oberlin CIT, and serves as a point of contact for resolving issues related to Payroll/HR. Leads in coordinating between Payroll and Information Specialist for data entry and project purposes as needed. Ensures quality customer service is maintained, by assisting customers to resolve issues. Reports payroll-related issues to Associate Director, Payroll & Tax. Maintains current knowledge regarding college and legal requirements and record retention. Assists fellow human resources team members as needed to meet critical deadlines and complete special projects. Performs other related duties as assigned.
Essential Job Functions Skill In:
Payroll processing and system administration. Working precisely and accurately amid interruptions. Written, verbal, and interpersonal communication. Adhering to strict deadlines. Detail orientation. Utilizing Microsoft Office Suite and other applicable software.Ability To:
Work independently and as part of a team in a self-directed manner. Multi-task while managing multiple projects and assignments. Read and understand legal/complex documents such as the IRS code and college policies. Analyze and interpret policies and procedures. Be results and people oriented. Marginal Job Functions Required Qualifications Minimum of two-years in a fast paced in-house payroll environment; OR; equivalent experience to equal a total of four years which provides comparable knowledge, skills and abilities. Desired Qualifications Associate's degree in Human Resources, Business, or related field. Experience in higher education or other high volume in-house payroll processing.Knowledge Of:
• Standard payroll processes and procedures. Payroll processing in an ERP environment with an electronic timekeeping system. Compensation Within the ranges established for this position, salary will be commensurate with qualifications and experience and includes an excellent benefits package.
