FTC Telecom Innovation Position Overview We are seeking a dependable, organized, and detail-oriented Accounting & Payroll Coordinator to support the day-to-day operations of our growing business. This position will be responsible for payroll administration, employee recordkeeping, onboarding support, accounts payable, general bookkeeping assistance, office administration, and other operational duties as the company grows. The ideal candidate is comfortable working in a fast-paced start-up environment, handling confidential employee and financial information, managing multiple priorities, and developing organized administrative processes. Key Responsibilities Payroll Administration Review and verify employee timesheets, hours, overtime, paid time off, bonuses, deductions, and payroll adjustments. Prepare and process payroll accurately and on schedule. Maintain employee payroll profiles, pay rates, direct-deposit information, tax forms, and deductions. Coordinate payroll for new hires, employee changes, leaves of absence, and terminations. Assist with final-pay calculations and offboarding documentation. Maintain accurate payroll records and supporting documentation. Review payroll reports and resolve discrepancies. Assist with payroll tax reporting, year-end filings, and employee tax documents. Coordinate with payroll providers, accountants, and government agencies when required. Support compliance with applicable federal, state, and local payroll requirements. Employee Administration and Human Resources Support Coordinate employee onboarding and collect required new-hire documentation. Maintain confidential and organized employee files. Assist with employment agreements, offer letters, policies, and employee forms. Track employee attendance, paid time off, sick leave, and other employee entitlements. Respond to general employee questions regarding payroll, timekeeping, company policies, and administrative matters. Support employee offboarding and termination processes. Assist management with maintaining compliant employment and workplace records. Help develop and maintain internal policies, procedures, and employee handbooks. Accounting and Bookkeeping Support Process vendor invoices and employee expense reimbursements. Assist with accounts payable Record payments, invoices, debits, credits, and other financial transactions. Reconcile bank accounts, credit cards, payroll accounts, and vendor statements. Maintain organized financial records, receipts, and supporting documents. Assist with weekly and monthly financial reporting. Support budgeting, cash-flow tracking, and expense monitoring. Coordinate with the company's accountant or bookkeeper during month-end, year-end, and tax preparation. Assist with maintaining the general ledger and resolving accounting discrepancies. General Administrative Duties Maintain electronic and physical filing systems. Prepare correspondence, reports, spreadsheets, forms, and internal documents. Manage company records, contracts, licences, registrations, and renewal dates. Coordinate office services, utilities, telecommunications, vendors, and service providers. Assist with insurance documentation and renewals. Maintain company contact lists, calendars, trackers, and administrative databases. Assist with contractor and vendor onboarding. Track company equipment, vehicles, computers, phones, and other assigned assets. Schedule meetings and assist with internal communications. Complete applications, registrations, and administrative forms. Assist management with other duties as assigned. Growing Operations Support Because this is a growing business, the successful candidate will also assist with: Establishing payroll, administrative, and recordkeeping procedures. Creating organized filing and document-management systems. Developing payroll calendars, approval processes, and internal checklists. Setting up employee and contractor records. Supporting the implementation of payroll, accounting, expense, and timekeeping software. Helping management identify administrative gaps and improve internal processes. Taking on additional responsibilities as the company expands. Qualifications Previous experience in payroll administration, accounting administration, bookkeeping, human resources administration, or office management. Experience processing or supporting US payroll. Understanding of timesheets, overtime, payroll deductions, tax forms, and employee recordkeeping. Familiarity with accounts payable, accounts receivable, reconciliations, and general bookkeeping. Strong knowledge of Microsoft Excel, Word, Outlook, and cloud-based business systems. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to meet payroll, payment, and filing deadlines. Strong written and verbal communication skills. Ability to handle confidential employee and financial information professionally. Comfortable working independently and taking initiative. Adaptable and willing to support different areas of a growing business. Preferred Qualifications Experience with payroll or accounting platforms Experience with multi-state payroll is considered an asset. Familiarity with employee benefits administration and workers' compensation. Experience assisting with payroll tax filings and year-end reporting. Bookkeeping, payroll, accounting, human resources, or business administration education is considered an asset. Payroll certification is considered an asset but is not required. $60,000.00 - $70,000.00 per year
