$90,000•$105,000 The salary range for this position is $90,000•$105,000 per year for employees hired in the Bay Area. In this role, you will manage high-volume, full-cycle payroll processing while ensuring compliance with federal and California regulations. Position Summary The Payroll Administrator is responsible for supporting all aspects of high-volume, full-cycle payroll, including processing, auditing, compliance, reporting, and employee support. This role partners closely with Human Resources and Finance to ensure payroll accuracy, maintain audit-ready documentation, and support payroll systems and processes in a complex, grant-funded nonprofit environment. Key Responsibilities Payroll Processing & Compliance Process semi-monthly payroll accurately and on time Ensure compliance with federal, state, and local wage and labor laws Process payroll transactions including pay changes, bonuses, reimbursements, and garnishments Ensure timely payment of payroll taxes and withholdings Auditing & Reporting Audit and reconcile payroll data and balance sheet accounts Support W-2 preparation and reconciliation to the general ledger Generate payroll reports and perform data analysis Maintain audit-ready payroll documentation Employee Support & Communication Serve as a resource for employees and managers on payroll-related questions Resolve complex payroll issues with a strong customer service approach Respond to requests from regulatory and external agencies Systems & Process Management Maintain payroll system configurations, codes, and cost centers Support timekeeping system accuracy and compliance Maintain payroll-related content on internal platforms (e.g., SharePoint) Develop and document payroll policies, procedures, and internal controls ✅ Qualifications Bachelor's degree in Accounting or related field Minimum 5+ years of high-volume payroll experience (nonprofit or complex funding environment preferred) Certified Payroll Professional (CPP) preferred Strong knowledge of payroll practices, wage and labor laws, and compliance requirements Technical Skills Experience with payroll systems (UKG Ready/Kronos preferred) Advanced Excel skills (pivot tables, VLOOKUPs, data analysis) Proficiency in Microsoft Office Suite Key Skills Strong attention to detail and accuracy Ability to manage multiple priorities and deadlines Excellent communication and customer service skills Problem-solving mindset with ability to handle complex payroll issues Work Environment Hybrid work environment with a mix of remote and in-office work Primarily office-based work using standard systems and equipment Collaborative work with HR, Finance, and cross-functional teams ❤️ Why Join Aspiranet?
