Position Summary As Payroll Coordinator with HR Support you will be responsible for the accurate and timely processing of multi-state payroll while ensuring compliance with varying state and local regulations. This role supports both payroll and general HR functions, maintaining employee records, assisting with HR processes, and delivering a high level of service to employees across multiple locations. The Payroll Coordinator partners closely with HR and Finance to ensure consistency, compliance, and data integrity. Essential Functions Multi-State Payroll Processing & Administration Process payroll for employees across multiple offices and states on a bi-weekly basis Ensure accurate application of state-specific tax withholdings, unemployment rates, and local taxes Maintain and update employee work and tax locations to ensure proper taxation Review and validate timesheets, earnings, and deductions for accuracy Process payroll changes including new hires, terminations, salary adjustments, bonuses, and multi-state allocations Track and manage employees' work locations, including remote and hybrid scenarios Review and suggest process improvements where necessary Compliance & Reporting Ensure compliance with federal, state, and local payroll laws and regulations across all operating states Monitor and apply changes in tax laws, wage and hour regulations, and state-specific requirements Assist with payroll tax filings, multi-state W-2 preparation, and year-end processing Support audits, including state-specific unemployment and payroll tax audits Maintain compliance with state wage laws, including minimum wage, overtime, and final pay requirements Employee Support Serve as a primary point of contact for payroll related questions across multiple locations Resolve payroll discrepancies, including tax and jurisdictional issues HR Operations Support Assist with onboarding and offboarding processes, ensuring proper state tax forms (e.g., state W-4 equivalents) are completed Maintain employee records and ensure accuracy within HRIS/payroll system Support benefits administration, including enrollments and state-specific compliance requirements Track employee status changes including promotions, transfers, and relocations between states and offices Assist with leave of absence tracking, including compliance with state-specific leave laws Recruitment & Onboarding Support Coordinate onboarding for multi-state employees, ensuring compliance with state-specific requirements Prepare offer letters and onboarding documentation Assist with new hire orientation logistics Systems & Data Management Maintain payroll and HRIS systems, ensuring proper configuration for multi-state taxation Audit employee data regularly to ensure alignment between HRIS and payroll systems Generate multi-state payroll reports for Finance and leadership Support system updates related to tax jurisdiction changes

Requirements:
Associate's or Bachelor's degree in Accounting, Finance, Human Resources, or related field preferred 2-5 years of payroll experience required, with multi-state payroll strongly preferred Certified Payroll Professional (CPP) certification a plus Experience with payroll/HRIS systems (e.g., ADP, Paylocity, Paycom) Paylocity preferred Proficiency of Microsoft Office Suite Strong attention to detail and accuracy in payroll processing Strong organizational and time management skills Ability to manage confidential information with discretion Open minded and willingness to learn
Physical Demands:
Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of the job, the employee must be able to access all components of a workstation and other office equipment. Frequent sitting and typing and occasional standing, walking, balancing, kneeling and climbing. Must be able to lift up to 20 pounds. The salary WRA will offer will commensurate with experience.
