We manage a diverse portfolio of residential properties, ensuring they are well-maintained and safe for all residents. Position Summary The Payroll Coordinator is responsible for the accurate and timely processing of payroll for all SPM employees across multiple properties. This role manages payroll tax compliance, PTO tracking, and payroll reporting while coordinating with the companys PEO partner for benefits administration. The Payroll Coordinator reports to the Property Accounting Manager and works closely with HR and the corporate accounting team. Key Responsibilities As a Payroll Coordinator at SPM, you will be responsible for: Payroll Processing \tProcess bi-weekly or semi-monthly payroll for all employees, including salaried, hourly, and commissioned staff across multiple properties \tVerify timesheets, calculate hours, overtime, bonuses, and commissions for accurate payroll submission \tProcess payroll adjustments including retroactive pay, reimbursements, and deductions \tSet up new hires in the payroll system and process terminations, ensuring final paychecks comply with state requirements Tax Compliance & Reporting \tEnsure accurate and timely payroll tax filings at the federal, state, and local levels \tPrepare and distribute W-2s at year-end and ensure compliance with all reporting deadlines \tMaintain current knowledge of wage and hour laws, tax regulations, and payroll compliance requirements \tRespond to tax notices and resolve payroll tax discrepancies as needed PTO & Time Management \tTrack and reconcile PTO accruals, sick leave, and other time-off balances for all employees \tResolve timesheet discrepancies and coordinate with property managers on attendance issues \tMaintain accurate records of employee leave in the payroll and HRIS systems PEO Coordination \tServe as the primary point of contact with the companys PEO partner for payroll-related matters \tCoordinate with the PEO on employee onboarding, benefits enrollment integration, and payroll system updates \tReconcile PEO invoices and reports to ensure accuracy of charges Payroll Reporting & Reconciliation \tPrepare payroll journal entries and reconcile payroll accounts with the general ledger \tGenerate payroll reports for management, including labor cost analysis by property \tMaintain proper records, files, and documentation for all payroll transactions \tAll other duties and special projects as assigned Qualifications To be successful in this role, you should have: \tAssociates or Bachelors degree in Accounting, Business, or related field preferred \t24 years of payroll processing experience required \tExperience processing multi-state payroll for 50+ employees preferred \tExperience with payroll software (ADP, Paychex, Paylocity, or similar) required \tFamiliarity with PEO platforms and workflows preferred \tKnowledge of federal, state, and local payroll tax regulations \tStrong proficiency in Microsoft Excel \tExcellent attention to detail and organizational skills \tAbility to handle confidential information with discretion \tStrong communication skills for cross-departmental coordination \tPre-employment drug test and background check required Compensation/Benefits We offer a competitive salary and the following benefits package: \tHealth Insurance \tVision Insurance \tDental Insurance \tPaid Time Off \tBasic Life / Voluntary Life \tLong Term / Short Term Disability \tPromotion Opportunities Join our team and be a key player in maintaining the high standards of living in our properties.
