Job Description

Starlight Corporation Starlight Corporation is seeking a highly organized and detail-oriented Part-Time Office Administrator to join our team. This role is central to ensuring smooth day-to-day operations, accurate financial management, and compliance with government and corporate requirements. We are looking for a team player who embraces technology to streamline office tasks and is driven, innovative, and ambitious .
Note:
This is an on-site position at our Carlsbad, CA office. Remote work is not available.
Key Responsibilities Primary Function:
Oversee office operations, including telephone systems, personnel records, assist with payroll administration, assist with billing, and vendor management. Prioritize and process incoming mail, ensuring proper filing and timely communication with management. May be required to conduct semi-annual process trainings (via Microsoft Teams) for executives on billing, payroll, and QuickBooks to ensure quality control and efficiency. Assist with processing invoices and accounts receivable through QuickBooks and Wide Area Work Flow (WAWF)/PIEE , including government credit card transactions. Oversee semi-monthly payroll and deductions via the Paycor Payroll System . Monitor and troubleshoot payroll, Employee PTO , and tax billing issues. Maintain compliance with state, federal, and local tax registrations ; manage a tax file system. Support employee onboarding, E-Verify, and personnel recordkeeping. Support unemployment filings (e.g., CA EDD), confirm protest decisions with management, and maintain documentation. Administer the CalSavers program
  • employee input, payment monitoring, and communication. Manage workers' compensation audits
  • complete audits, collect Certificates of Insurance, and maintain accurate records. Manage state licensing
  • track renewals, maintain documentation, and ensure registrations are current.
Track Period of Performance (PoP) dates , contract modifications, and ensure updates are reflected in payroll and billing systems. Organize and update contract data, wage determinations (WDs), and billing documentation. Organize data documents in a searchable shared format (OneDrive/Google Drive). Help establish secure document sharing (e.g., payroll) with site managers, management, and other administrators. Qualifications Preferred to have at minimum 1 year of Quickbooks experience. Preferred Quickbooks Online experience and relevant experience should be within the last year. Preferred experience with payroll processing systems and payroll processing Preferred Proficiency in QuickBooks, Outlook, Word, Excel, PowerPoint, WAWF/PIEE, Payroll Systems (I.e., Paycor, Paychex), HR Online, and E-Verify .
Preferred:
Strong skills in Microsoft 365 (OneDrive, SharePoint, Teams) .

Experience with Google Drive and Microsoft OneDrive for document management and collaboration.

Experience with AI software systems and tools to support office automation and efficiency. Strong organizational skills with the ability to prioritize tasks independently. Excellent communication and phone etiquette. Ability to multi-task and work collaboratively as part of a team. Quick learner with strong attention to detail. Must provide proof of U.S. citizenship and Social Security documentation. Must pass a background check and may be required to obtain a SECRET clearance . Physical Requirements Type 30-45 words per minute. Walk 2-3 flights of stairs daily. Lift file folders weighing up to 40-50 lbs. Sit and work at a computer for up to 8 hours per day.
