Job Description
Description We are looking for a highly skilled Payroll Specialist to join our team in Menlo Park, California. In this Contract to permanent position, you will play a pivotal part in ensuring payroll processes are executed accurately and in compliance with tax regulations across multiple states. This position is ideal for professionals with strong expertise in payroll tax management and reporting, particularly in complex, multi-state environments.
Responsibilities:
- Reconcile quarterly and annual payroll tax returns and filings to ensure accuracy and compliance.
- Audit and manage remote work states for reciprocity and regulatory adherence.
- Review unemployment insurance across various states, assess organizational status, and address reimbursable requirements.
- Respond to tax inquiries and notifications from agencies promptly and effectively.
- Prepare and reconcile 990 forms with W-2 data for accurate reporting.
- Oversee W-2 and W-2C reporting processes, ensuring timely submissions.
- Monitor biweekly and semimonthly payrolls against compliance reports to maintain accuracy.
- Create and review reports for third-party entities, including quarterly submissions for specific state requirements.
- Stay informed about changes in payroll tax laws and ensure organizational compliance.
- Conduct audits on overpayment recoveries to maintain financial accuracy. Requirements
- Proven experience in full-cycle payroll processing, including multi-state payroll management.
- Expertise in handling payroll for organizations with over 2000 employees.
- Strong knowledge of payroll tax regulations and compliance across multiple states.
- Proficiency in Workday Payroll and advanced Excel skills.
- Familiarity with payroll tax reporting requirements, including 990 forms and
W-2/W-2C
processes.- Exceptional attention to detail and ability to manage complex data.
- Minimum of 3-5 years of relevant payroll tax experience.
- Previous experience with Smart Compliance systems is a plus.
