Job Description
Job Duties:
Payroll Process payroll for assigned entities accurately and in accordance with established schedules Maintain and update payroll processing procedures, provide backup support during team absences across payroll systems Assist in documenting workflows and supporting implementation or optimization of payroll systems Review and validate payroll changes, including pay rates, bonuses, allowances, equity/stock, deductions, tax elections and direct deposit updates Partner with department manager to maintain payroll-related general ledger (G/L) mappings, including setup, research, and correction of coding issues Assist with payroll cash account balancing and related reconciliations Audit new hire payroll and tax setup to ensure compliance and accuracy Tax Support monthly sales tax reporting for assigned entities Assist with quarterly unemployment (SUI) filings and related reporting Review local tax reports and reconcile against SUI data to ensure accuracy and employee jurisdiction alignment Assists with year-end processing, including W-2 preparation and validation Verify payroll tax withholdings and payments for accuracy and timeliness Record and track federal tax deposits (Form 941) and assist with reconciliation of FIT, FICA, SDI, LST/OPT, SUTA, and local taxes Responds to routine employee inquiries concerning payroll or tax Additional Responsibilities Support special projects and process improvement initiatives as needed All other duties as assigned. Required Knowledge, Skills, & Abilities Proficiency in Microsoft Excel and general computer applications Ability to quickly learn and adapt to new payroll and accounting systems Strong numerical aptitude, including proficiency in 10-key data entry Strong verbal and written communication skills. High level of discretion and ability to handle confidential and sensitive information Self-motivated with a proactive, detail-oriented work style Analytical thinking and problem-solving capability Ability to work independently, and collaboratively across all levels of the organization Ability to handle stressful situations. Regular on-site attendance required Work Experience / Educational Requirements High School Diploma or equivalent Associate's or Bachelor's degree in Accounting, Finance or related field preferred 3-5 years of payroll and/or payroll tax experience preferred \n $22 - $24 an hour \n At Tom James Company, we believe that taking care of our team is just as important as taking care of our customers.
