Job Description

Job Overview We are seeking a detail-oriented and service-focused Client Payroll Specialist to join our payroll team. This position is responsible for processing accurate and timely payrolls for an assigned group of client companies in a Professional Employer Organization (PEO) environment. The ideal candidate is highly organized, comfortable working with deadlines, and able to manage multiple client accounts and payroll schedules. This role requires strong data-entry, analytical, and customer-service skills, along with the ability to communicate effectively with clients and coworkers in both English and Spanish.
Key Responsibilities:
Process weekly, biweekly, and other scheduled payrolls for assigned client companies. Review employee hours, earnings, deductions, reimbursements, benefits, garnishments, and tax information for accuracy. Verify that payroll data is complete and properly authorized before processing. Maintain accurate employee payroll records, including new hires, terminations, pay-rate changes, direct deposits, deductions, and tax elections. Communicate with assigned clients to collect payroll information, answer questions, and resolve payroll-related issues. Review payroll reports and identify discrepancies before payroll is finalized. Research and promptly correct payroll errors or inconsistencies. Use Darwin payroll software and related systems to process payroll and review time-and-attendance information. Coordinate with Payroll, Human Resources, Accounting, Benefits, and other departments to ensure accurate processing. Maintain the confidentiality of employee, client, payroll, and financial information. Follow internal payroll procedures and established processing deadlines. Stay informed about applicable federal, state, and local wage-and-hour, payroll-tax, and payroll-processing requirements. Provide professional and responsive customer service to assigned client companies. Assist with special payroll projects and other related duties as assigned.
Qualifications:
Previous payroll processing, accounting, bookkeeping, or related administrative experience preferred. Working knowledge of payroll practices, deductions, payroll taxes, and wage-and-hour requirements. Strong numerical, 10-key, typing, and data-entry skills. High level of accuracy and attention to detail. Strong organizational and time-management skills, with the ability to meet strict deadlines. Ability to manage multiple payrolls, client requests, and competing priorities. Ability to review payroll data, identify discrepancies, and resolve issues. Proficiency with Microsoft Excel and other Microsoft Office applications. Familiarity with basic accounting and human resources practices is helpful. Strong written and verbal communication skills in English and Spanish. Professional, dependable, and committed to maintaining confidentiality. Ability to work effectively both independently and as part of a team.
