The Payroll Assistant plays a critical role in ensuring the accurate and timely processing of employee payroll within the organization. This position involves managing payroll data entry, verifying timesheets, and reconciling payroll discrepancies to maintain compliance with company policies and government regulations. The Payroll Assistant collaborates closely with HR and finance departments to support payroll audits and reporting requirements. Attention to detail and confidentiality are paramount, as the role handles sensitive employee compensation information. Ultimately, the Payroll Assistant contributes to a smooth payroll operation that supports employee satisfaction and organizational financial integrity.Minimum Qualifications:
High school diploma or equivalent required; Associate's degree in accounting, finance, or related field preferred. Basic understanding of payroll processes and relevant labor laws in the United States. Proficiency with Microsoft Office Suite, especially Excel. Strong numerical aptitude and attention to detail. Excellent organizational and communication skills.Preferred Qualifications:
Experience with payroll software such as ADP, Paychex, or similar platforms. Familiarity with tax regulations and compliance requirements related to payroll. Previous experience working in a payroll or accounting support role. Certification in payroll (e.g., Certified Payroll Professional) is a plus. Ability to handle confidential information with discretion.Responsibilities:
Process and input employee timekeeping data and payroll information accurately and on schedule. Verify payroll data for accuracy, including hours worked, deductions, and benefits. Assist in resolving payroll discrepancies by collecting and analyzing relevant information. Maintain payroll records and ensure compliance with federal, state, and local regulations. Support payroll reporting and documentation for audits and internal reviews. Respond to employee inquiries regarding payroll issues in a professional and timely manner. Collaborate with HR and finance teams to update payroll policies and procedures as needed.Skills:
The Payroll Assistant uses strong organizational skills daily to manage multiple payroll tasks efficiently and accurately. Attention to detail is essential when entering and verifying payroll data to prevent errors that could affect employee compensation. Communication skills are employed to interact professionally with employees and internal teams, addressing payroll inquiries and collaborating on process improvements. Proficiency in payroll software and Microsoft Excel enables the Payroll Assistant to process payroll runs and generate reports effectively. Additionally, knowledge of payroll regulations ensures compliance and helps the assistant support audit and reporting activities with confidence.Additional Information:
This is a part-time, temporary position. Preference will be given to bilingual candidates fluent in English and Spanish who can effectively communicate with a diverse workforce. The ideal candidate will demonstrate strong interpersonal skills, cultural awareness, and the ability to provide payroll support in both languages.
