Senior HR & Payroll Specialist 1.0 POSITION SUMMARY The Payroll & Benefits Coordinator supports accurate, on-time payroll and benefits administration by preparing payroll inputs, reviewing timekeeping, maintaining employee records in Paylocity, and coordinating benefits enrollment, deductions, and reconciliation — all under the review and approval of senior HR staff. This is an intermediate (Level II) role that prepares, reconciles, flags, and coordinates payroll and benefits activity. Final approvals for payroll, pay, benefits, and compensation changes remain with the Senior HR & Payroll Specialist and Human Resources Manager. 2.0 KEY
RESPONSIBILITIES
Payroll Preparation & Timekeeping Review timecards, follow up on missing punches, and flag overtime for approval. Support preparation of payroll input packets and verify data prior to processing. Maintain the payroll discrepancy log and track corrections to resolution. Support new-hire payroll setup, including W-4, direct deposit, and document follow-up. Benefits Administration Support Track benefit eligibility and support new-hire and open-enrollment processing. Verify benefit deductions and support qualifying-life-event paperwork. Assist with benefit invoice reconciliation and discrepancy follow-up. Employee Records & Data Enter and update Paylocity employee records after appropriate approval (status, job, and pay-data changes). Maintain accurate, confidential HR and payroll records. Complete employment verifications and provide basic HR records support. Coordination & Compliance Coordinate with Finance on payroll matters while employee data, benefits, and records remain HR-owned. Respond to routine employee questions on payroll and benefits, escalating complex issues. Maintain strict confidentiality and follow separation-of-duties and internal controls. Scope & Authority Prepares, reconciles, flags, and coordinates payroll and benefits activity for senior review. Does not approve final payroll, pay rates, pay band or grade decisions, final benefit-plan decisions, payroll-tax decisions, or any compensation change without HR/Finance approval. Does not conduct discipline, investigations, or policy interpretation; these remain with the Senior HR & Payroll Specialist or Human Resources Manager. 3.0 QUALIFICATIONS Required 1-3 years of payroll, benefits, or HR administrative experience. Familiarity with payroll preparation and benefits enrollment and deductions. Proficiency with HRIS/payroll systems (Paylocity preferred) and Microsoft Excel. Strong numerical accuracy and attention to detail. High level of confidentiality and integrity when handling sensitive employee data. Strong organization, follow-through, and communication skills. Understanding of basic wage-and-hour and timekeeping concepts. Preferred Hands-on Paylocity payroll and benefits experience. Experience with benefit invoice reconciliation and qualifying life events. Payroll/HR coursework or certification (e.g., FPC, aPHR). Bilingual English/Spanish. 4.0 REPORTING

Reports To:
Senior HR & Payroll Specialist Reports to the Senior HR & Payroll Specialist. Receives oversight and final approval from the Human Resources Manager on payroll, pay, and benefits decisions. Coordinates with Finance on payroll processing; employee data, benefits, and records remain HR-owned. 5.0
