Job Description
Job Summary The Payroll Specialist works either alone or with other team members in the timely and efficient work associated with the payroll and worker's compensation functions of the organization. The Payroll Specialist is responsible for timely, accurate and service-friendly execution of the bi-weekly payroll and workers' compensation accounting. Frequently interacts with the fellow team members, service/supply vendors, and internal/external stakeholders. Maintains a professional and supportive environment with all interactions. The position's goal is to complete the targeted tasks efficiently and accurately in the assigned work function. Responsibilities Organizes, calculates, and manages the payroll process, utilizing the computer-based system and other tools to generate the finished payroll accurately for our employee population. Organizes, prioritizes, and executes in the completion of all accounting, worker's compensation, and administrative functions of the assigned office area. Establishes and maintains individual time, leave and earnings records for both hourly and salaried employees, both full-time and part-time. Coordinates all record keeping, posting, information requests, deductions, charges, coding, accounting software interface, and other similar administrative actions. Administers withholdings for federal, state, and local taxes, benefit and other required or selected deductions. Communicates with internal stakeholders to ensure compliance with all administrative standards and company policies. Maintains daily oversight and administration of the organization's scheduling software to ensure accurate employee compensation, requiring exceptional attention to detail, continuous auditing, troubleshooting, and close coordination with management regarding scheduling, coding, approvals, and discrepancies Independently administers all aspects of the organization's 403(b) retirement plan, including employee enrollment and eligibility, setup and maintenance of deductions and employer contributions, bi-weekly reconciliation and submissions, monitoring compliance requirements, processing plan changes, and tracking and administration of participant loans and related transactions Generates and distributes balance and all output reports in accordance with company standards and policy. Compile reports, analyze data and take appropriate actions or recommend resolutions. Maintain company files and records and aid in the completion of regulatory, administrative, and/or financial reporting in assigned work areas. Research and complete special projects. Work with the Department Manager or assigned Lead to accomplish assigned tasks and projects. Collaborates with members of Operations, Human Resources and Accounting in the administration of the payroll system and process. Other duties as assigned.
MINIMUM QUALIFICATIONS
Education and Experience:
High School Education required; formal payroll and/or accounting education preferred Minimum of five years of payroll experience in organizations larger than 400 employees is highly preferred. Experience with multiple shift and complex pay applications preferred. Preferred knowledge with Sage and UKG payroll systems. Microsoft Office Suite experience required.SKILLS AND PROFICIENIES
Incredibly detailed in thought and execution. Accurate and careful in the execution of the work function. Ability to research, analyze and manage various administrative and/or accounting functions. Provide accurate and timely communication in both written and verbal form. Effective knowledge of EMS and/or administrative duties desired. Accurate typing at least 30 wpm. Proficient in oral and written communications, especially telephone. Proficient in the use of computers.CERTIFICATIONS
