Payroll Specialist (Bilingual - Spanish/English) Image Detail Specialists Inc.
Position Overview:
Image Detail Specialists Inc. is a rapidly growing national detailing and cleaning services company supporting a workforce of over 600 employees across multiple states. We are seeking a highly skilled and detail-oriented Payroll Specialist to join our team. This role is responsible for the accurate and timely processing of multi-company, multi-state payroll while ensuring compliance with federal and state regulations. The ideal candidate will be experienced, analytical, and capable of managing complex payroll operations in a fast-paced environment. Skills & Experience:
: Bilingual in Spanish and English Advanced expertise in Paychex payroll systems Advanced proficiency in Microsoft Excel Minimum 2+ years of payroll processing experience (5+ years preferred) Proven experience with Paychex and timekeeping systems (e.g., E-time) Strong understanding of payroll regulations, tax compliance, and accounting principles Advanced Excel skills (data analysis, reporting, reconciliation) Exceptional attention to detail and organizational skills Strong analytical and problem-solving abilities Ability to manage multiple priorities in a deadline-driven environment
Key Responsibilities:
Process and manage multi-state, multi-company payroll operations Maintain accurate payroll records, including employee data and monthly reconciliations Set up and process new hires, terminations, and employee changes Manage payroll transactions such as: Wage garnishments (tax levies, child support), Benefit deductions and reimbursements Direct deposit and W-4 updates Generate payroll journal entries and reconcile payroll-related accounts Conduct monthly audits to ensure accurate deductions and billing Review payroll tax reports and filings for compliance and accuracy Collaborate with HR and Regional Managers on employee data and payroll setup Monitor PTO accrals, benefits, and savings plan deductions Ensure payroll data is accurate and updated daily Manage wage garnishments in coordination with Paychex Process employment verifications, wage requests, and legal payroll documentation Maintain organized payroll records and backup documentation Assist in cross-functional payroll team operations and continuous process improvement Process payroll accurately and efficiently using various payroll software such as Workday, ADP, Paychex , UltiPro, Kronos, Ceridian, and QuickBooks. Manage data entry related to employee hours, benefits administration, tax information, and deductions with precision. Reconcile accounts through general ledger accounting practices, including journal entries, account reconciliation, debits & credits, and double-entry bookkeeping. Assist with benefits administration tasks and support HRIS systems to ensure employee data integrity. Perform accounts payable and receivable functions related to payroll expenses and vendor payments. Conduct analysis of payroll data to identify discrepancies or errors and resolve issues promptly. Maintain compliance with governmental regulations by preparing tax reports, processing tax payments, and ensuring adherence to non-profit or governmental accounting standards when applicable. Support internal audits by providing detailed reports on payroll transactions and account reconciliations. Collaborate with human resources teams on employee onboarding, offboarding, and benefits enrollment processes. Execute general ledger reconciliation tasks regularly to ensure accuracy of financial records related to payroll activities.
Preferred Qualifications:
Associate's degree in Business, Accounting, or related field Experience supporting multi-location or national workforce payroll

$45,000 - $55,000 annually
