Job Description
Payroll Specialist (Construction) Overview We're seeking a detail-driven Payroll Specialist to own the full-cycle payroll process in a fast-paced construction environment. This role is heavily focused on certified payroll, prevailing wage compliance, and system reconciliation , ensuring employees are paid accurately while meeting all regulatory requirements. You'll partner closely with field teams, accounting, and operations to keep payroll running smoothly across multiple active jobs. Key Responsibilities Collect and review daily jobsite reports from foremen, verifying completeness, signatures, and production/unit data, while ensuring submissions remain timely. Audit foreman reports against timekeeping systems (T-Sheets or equivalent), resolve discrepancies, and coordinate corrections directly with field leadership. Input and maintain daily labor data within ProContractor (or similar ERP systems) after job activity updates are completed. Manage concurrent payroll cycles, maintaining both the current working week and the processing payroll batch. Ensure proper wage application across standard and prevailing wage projects, maintaining full compliance with job and regulatory requirements. Perform weekly payroll processing, followed by reconciliation between timekeeping platforms and payroll/accounting systems. Prepare payroll summaries and supporting documentation for internal approval, ensuring accuracy before finalization. Review certified payroll reports for compliance, validating hours, classifications, pay rates, and adjustments such as per diem and sick time. Generate and submit
ACH/NACHA
files for direct deposit after payroll approval. Process and remit weekly payroll tax payments (federal and state) and administer retirement contributions (401k). Compile quarterly payroll tax filings and Washington L&I reports, including reconciliation and payment processing upon approval. Produce certified payroll reporting (weekly) and journeyman reporting (monthly), distributing to customers and stakeholders as required. Maintain accurate employee payroll records, including onboarding, offboarding, and documentation compliance. Coordinate benefits-related data, including annual health insurance renewals and submission tracking. Address daily payroll-related inquiries, adjustments, and exceptions with a high degree of accuracy and confidentiality. Take ownership of payroll operations by identifying process improvements and anticipating business needs. Required Experience & Skills 3+ years of construction payroll experience with hands-on weekly payroll processing Strong experience with certified payroll and prevailing wage compliance Demonstrated ability to reconcile payroll, timekeeping, and accounting systems Knowledge of payroll taxes, deductions, and direct deposit processing (ACH/NACHA files) Familiarity with time tracking platforms such as T-Sheets Experience preparing and reviewing payroll-related reports (tax filings, L&I, certified payroll, etc.) High attention to detail with strong data accuracy skills Ability to thrive in a deadline-driven, fast-moving environment Proactive, self-sufficient work style with strong ownership mindset Preferred Qualifications Experience with ProContractor, Viewpoint, or similar construction ERP systems Exposure to union payroll environments Background in accounting or finance Associate or Bachelor's degree (preferred, not required) Why Join Us?
