Our experienced team helps individuals and families achieve their family-building goals through advanced fertility treatments, innovative technology, and exceptional patient support. Job Summary CARE Fertility is seeking a highly organized and detail-oriented Patient Financial Counselor to join our team. This full-time position is responsible for guiding patients through the financial and insurance aspects of their fertility treatment. The ideal candidate will verify insurance benefits, submit and manage prior authorizations, communicate authorization status to patients, prepare financial estimates, collect payments, and educate patients on their financial responsibilities. This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities while providing excellent customer service. Key Responsibilities Insurance & Prior Authorizations Verify insurance eligibility and fertility benefits.

Submit and track prior authorization requests for fertility treatments, procedures, and surgeries.

Work with insurance companies and third-party fertility benefit administrators, including Progyny, Maven, Kindbody, and Carrot, to obtain approvals.

Follow up on pending authorizations and resolve any issues that may delay treatment.

Notify patients and the clinical team of authorization approvals, denials, or additional requirements. Patient Financial Counseling Review treatment costs and provide patients with personalized financial estimates.

Explain insurance coverage, out-of-pocket costs, and payment options.

Review financial policies and collect required payments before treatment.

Assist patients with financing programs, including Future Family and PatientFi. Billing & Account Management Prepare fee-for-service and self-pay financial agreements.

Review patient accounts for outstanding balances or pending claims.

Accurately collect and post patient payments. Patient Communication & Coordination Educate patients on insurance requirements and financial responsibilities.

Respond promptly to patient phone calls, emails, portal messages, and voicemails.

Work closely with providers, nurses, billing staff, and schedulers to ensure a smooth patient experience. Documentation & Compliance Maintain accurate patient records in the EMR and patient tracker.

Document authorization status and financial information.

Protect patient confidentiality and comply with HIPAA regulations. Team Support Assist team members with insurance, financial, and scheduling questions.

Communicate effectively with all departments to support efficient patient care
Qualifications :
High school diploma or equivalent (Associate's degree or certification in healthcare administration is a plus). A minimum of 1-2 years of experience in a medical office, healthcare administration, or customer service role. Familiarity with medical terminology and EMR systems preferred. Strong organizational skills and meticulous attention to detail. Excellent verbal and written communication skills. Ability to multitask and work efficiently in a fast-paced environment. Compassionate and patient-focused approach, with an ability to handle sensitive conversations about financial matters.
