This position is responsible for coordinating asset transfers, preparing funding documentation, communicating with clients and professional advisors, tracking verification processes, and assisting with trust administration activities. The ideal candidate is highly organized, detail-oriented, client-focused, and comfortable managing multiple projects and deadlines in a professional legal and financial environment. This is a full-time, in-office position, Monday through Friday, 8:30 am to 5:30 pm weekly.
Compensation:
$25•$32 hourly
Responsibilities:
During the Trust Creation Stage•Trust Funding Coordination Obtain and organize client funding documents and asset information Enter and maintain asset data within internal software systems Prepare draft funding plans and supporting documentation Draft deeds and transfer documents for attorney review Prepare funding instruction letters and beneficiary change forms Track funding verification status and provide client updates Respond to client and internal funding-related questions Assist clients with submitting funding changes and documentation Coordinate communication with financial advisors, CPAs, landmen, appraisers, and outside vendors During Maintenance Stage•Funding Review & Client Support Field and respond to estate planning funding questions Review client-submitted verification documents Enter and validate funding information within company systems Provide feedback and follow-up communication to clients Manage the funding review workflow completed by interns Conduct or assist with monthly funding workshops After Death Trust Administration Funding Support Collect and organize trust administration asset information Generate estate inventory and asset reports Coordinate verification and valuation processes Draft transfer deeds and related documentation Assist with trust administration and post-death funding matters
Qualifications:
Preferred Experience Experience in estate planning, probate, trust administration, legal support, or financial services Familiarity with deeds, beneficiary forms, asset transfers, and funding processes Experience working with attorneys, financial advisors, and professional service providers Strong administrative and project coordination skills Skills & Abilities Exceptional organizational and follow-through skills Close attention to detail and accuracy Strong written and verbal communication Ability to manage multiple priorities and deadlines Professional client service skills Proficiency with Microsoft Office and database/software systems Ability to maintain confidentiality and handle sensitive information About Company We are a fast-growing law practice focused on Estate Planning and Trust Administration in Norman, Oklahoma.
