Summary:
The Insurance & Claims Management Associate will provide support to the Director of Insurance and Risk Management in the administration of the insurance portfolio for the company and its affiliates. This position is responsible for the collection and monitoring of certificates of insurance for Westhab vendors and for government funders, and the collection and maintenance of data for all areas of insurance and claims management. The Insurance & Claims Management Associate will also support the incident reporting function and will liaise with other departments to obtain critical information. Duties Include but are not limited to: Collect data used for the marketing and renewal of insurance policies, including schedule of values, financial information, payroll figures, loss runs, etc. Coordinate between internal departments and insurance broker & carrier partners as needed. Assist in the completion of applications and submission data for insurance coverage, including (but not limited to) general Liability, automobile, property, worker's compensation, management liability and project specific insurance for construction projects. Maintain a company master schedule of insurance. Management of insurance certificates, including maintaining the vendor files and confirm conformance with requirements, request renewals upon expiration, scan and save in vendor files. This individual will also coordinate requests from various stakeholders to provide evidence of Westhab's insurance program. Provide support for claims administration, including sending out notification of claims to brokers and carriers, handling information requests and maintaining organized and complete claims files. Maintain Westhab's claim & litigation log. Provide support during site inspections and walkthroughs, including keeping detailed notes of findings, documenting suggested loss control recommendations and following up with Westhab staff to ensure they are acknowledged and adopted when possible. Collect, review and maintain incident reports and investigations; assist departments to investigate and document accidents and incidents (including the collection of witness statements, video footage and photographs) that occur across the Westhab portfolio. Provide administrative support to the fleet maintenance and driver safety program, including new risk management/health & safety policies, procedures and initiatives. Ensure the timely receipt of binders, policies, endorsements and invoices and review for accuracy. Coordinate and schedule required risk management training videos and presentations for relevant departments and employees. Maintain the OSHA log and submit for review by agency at deadline. Other duties assigned.
EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS
Bachelor's Degree preferred, Associates Degree required. Prefer 2+ years of working in the insurance industry or related field in an administrative support role. Experience working with Insurance Brokers a plus. Strong Microsoft Office skills including Excel, Word, and PowerPoint required and experience with Google Docs and Forms preferred. Strong analytical and communication skills required along with strong organizational and time management skills.
