Job Description

Looking for an Administrative Assistant to a Financial Advisor to join our team in Phoenixville, PA! We are seeking a highly organized, detail-oriented, and experienced Administrative Assistant to support a Financial Advisor in delivering exceptional client service while ensuring smooth day-to-day office operations. This part-time role requires a professional who can manage client relationships, coordinate administrative functions, and provide critical support during tax season.
The Ideal Candidate Will:
The ideal candidate will possess strong administrative skills, experience in financial services and a professional office environment, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced setting.
Responsibilities:
Financial Advisor Support Serve as the primary administrative support for the Financial Advisor. Schedule client meetings, reviews, and appointments. Prepare client files, meeting materials, and follow-up correspondence. Maintain accurate client records and update CRM systems. Process account paperwork, transfers, and service requests. Coordinate client communications regarding appointments, documentation, and service needs. Assist with onboarding new clients and maintaining ongoing client relationships. Track outstanding items and ensure timely completion of client requests Office Administration Manage incoming calls, emails, and correspondence professionally. Maintain organized digital and physical filing systems. Assist with calendar management and office scheduling. Prepare reports, spreadsheets, and presentations. Support compliance and record-retention procedures. Handle confidential information with discretion and professionalism.
Requirements:
Minimum of 3 years of administrative experience, preferably in financial services Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Excellent organizational and time-management skills. Strong verbal and written communication skills. Ability to manage multiple deadlines simultaneously. High attention to detail and accuracy. Professional demeanor and strong customer service skills. Ability to maintain strict confidentiality. Not Required, but
Preferred:
Experience working in a financial advisory, wealth management, CPA, or tax preparation office. Familiarity with CRM software and document management systems. Experience supporting tax preparation processes. Knowledge of financial services terminology and client service procedures. Experience with tax software platforms and secure document portals.
Pay:
$35,000.00 - $40,000.00 per year
