Part-Time Position Summary The Executive Administrative & Accounting/Tax Clerk provides administrative support to company leadership while assisting with bookkeeping, accounting, and tax-related activities. This position plays an important role in maintaining efficient office operations, ensuring accurate financial records, and supporting tax preparation and compliance. The ideal candidate is highly organized, detail-oriented, technology-savvy, and able to maintain confidentiality while managing multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Executive Administrative Support Provide administrative support to company executives. Answer and direct incoming phone calls and emails professionally. Manage executive calendars, schedule meetings, and coordinate appointments. Arrange travel accommodations and meeting logistics. Prepare correspondence, reports, presentations, and other business documents. Maintain electronic and paper filing systems. Order and maintain office supplies. Assist with special projects and other administrative duties as assigned. Handle confidential business and employee information with discretion. Accounting & Bookkeeping Process accounts payable and accounts receivable. Prepare customer invoices and monitor collections. Enter financial transactions into the accounting system. Maintain accurate bookkeeping records. Reconcile bank accounts and credit card statements. Assist with payroll documentation and related reporting. Organize financial records for month-end and year-end closing. Maintain accurate financial files and documentation. Tax Support Organize tax documents, including W-2s, 1099s, receipts, and supporting documentation. Assist with gathering information needed for tax return preparation. Prepare basic tax workpapers and data entry for review by tax professionals. Maintain organized client and company tax files. Assist with tax deadlines and document requests. Ensure confidential handling of sensitive financial and tax information. Qualifications Education High school diploma or equivalent required. Associate degree in Accounting, Business Administration, Finance, or a related field preferred. Experience Minimum of 1-2 years of experience in an administrative, bookkeeping, accounting, or office support role. Experience supporting executives is preferred. Previous experience working in an accounting or tax office is a plus. Knowledge, Skills, and Abilities Strong computer proficiency with the ability to quickly learn new software and technology. Proficient in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). Experience with QuickBooks or similar accounting software preferred. Excellent organizational and time management skills. Strong attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive financial and business information. Strong written and verbal communication skills. Excellent interpersonal and customer service skills. Ability to prioritize work, meet deadlines, and manage multiple tasks. Ability to work independently while contributing as a member of a team. Physical Requirements Prolonged periods of sitting and working on a computer. Frequent use of standard office equipment, including computers, telephones, printers, and copiers.
