The level will be determined based on the selected candidate's experience, knowledge, and demonstrated capabilities in payroll tax administration. This role is responsible for ensuring payroll-related taxes are accurately withheld, reported, and remitted to the appropriate federal, state, and local agencies. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to manage multiple priorities while supporting internal teams and client needs. Essential Responsibilities Research and determine applicable federal, state, and local payroll tax requirements and maintain accurate tax account setups. Prepare and file weekly, semi-monthly, monthly, quarterly, and annual payroll tax returns. Reconcile payroll tax data and resolve discrepancies identified through tax reconciliation reporting. Support year-end tax processing, including W-2 reconciliation and wage/tax verification. Research Social Security number mismatch notifications and coordinate resolution with agencies and internal departments. Respond to client and internal payroll tax inquiries and provide timely resolution of tax-related issues. Validate annual State Unemployment Insurance (SUI) rate changes, update tax systems, and calculate any required adjustments. Prepare and file state tax amendments, including SIT and SUI adjustments. Validate reports and data integrity between payroll and tax reporting systems. Register clients in required states and local jurisdictions for payroll tax reporting purposes. Additional Senior-Level Responsibilities Candidates hired at the Senior Tax Coordinator level may also: Research complex federal, state, and local payroll tax regulations and implement solutions. Reconcile information related to multiple worksite reporting requirements. Process W-2C corrections and other tax amendments as needed. Renew tax licenses and registrations with local taxing jurisdictions. Review payroll system updates and perform testing to ensure tax calculations remain accurate. Process tax-related payment requests and support accounts payable activities. Compile information for audits and external compliance reviews. Record and reconcile third-party sick pay and COBRA-related tax adjustments. Qualifications High school diploma or equivalent. Minimum one year of accounting, payroll tax, or tax-related experience. Knowledge of federal, state, and local payroll tax regulations. Strong attention to detail, organizational skills, and ability to meet deadlines. Proficiency with Microsoft Excel, Word, and Outlook. Preferred for Senior Tax Coordinator Consideration Associate degree in Accounting, Finance, Business, or related field. Multiple years of payroll tax administration experience. Experience with multi-state payroll tax compliance, tax amendments, audits, and system testing. Knowledge, Skills & Abilities Ability to research, interpret, and apply changing tax regulations. Strong analytical and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment. Excellent written and verbal communication skills.
