Position Summary TaxQuotes is seeking a detail-oriented and dependable Tax Preparation Assistant to support the tax processing and mailroom function at our Irvine headquarters. This role is responsible for handling incoming and outgoing documents with a high level of confidentiality, accuracy, and timeliness while also assisting with tax filing support, client follow-up, and case coordination. This position is ideal for someone who is organized, adaptable, and comfortable working in a fast-paced office environment. Duties and Responsibilities Assist with mailing documents to clients and the IRS in a timely and accurate manner. Receive, sort, scan, upload, and distribute incoming mail and business correspondence. Handle IRS notices and other sensitive client documents with strict confidentiality and attention to detail. Support tax preparation processes by filing extensions for individuals and businesses during tax season. E-file tax returns using ProSeries and upload confirmation notices for accepted extensions and returns. Communicate with clients by phone and email regarding missing documents, rejected returns, status updates, and next steps. Follow up with clients on outstanding documentation and provide professional, courteous assistance. Coordinate on behalf of the Tax Preparation department to help ensure client cases are handled efficiently. Maintain accurate digital and physical records and help manage high volumes of tax files and correspondence. Provide general administrative support and perform other related duties as assigned. Qualifications High school diploma (required) Bachelor's degree (highly preferred) Prior experience in tax preparation, administrative support, mailroom operations, or a related office role (preferred) Experience using ProSeries or similar tax software (preferred) Personal income tax and/or business income tax experience (preferred) PTIN and/or CTEC License (preferred) Required Skills Strong attention to detail and accuracy. Excellent organizational and time management skills. Ability to multitask effectively and prioritize a changing workload. Strong written and verbal communication skills. Professional phone etiquette and client service skills. Ability to work independently as well as collaboratively in a team environment. Dependable, adaptable, and solution-oriented. Comfortable communicating with individuals from a variety of backgrounds. Ability to handle confidential information with discretion.
