5361 Position Vacancy Announcement Florida A&M University's College of Agriculture and Food Sciences is pleased to announce the acceptance of qualified applications for the Assistant Director, Business and Financial/Auxiliary Services vacancy at the Brooksville Agricultural and Environmental Research Station (BAERS) in Brooksville, FL. Responsibilities The Assistant Director, Business and Financial/Auxiliary Services is responsible for the fiscal, budgetary, and administrative business operations of the Brooksville Agricultural and Environmental Research Station. This position provides strategic and operational oversight of budgeting, procurement, grants administration support, personnel actions, payroll coordination, compliance, and reporting for a research, Extension, and farm operations campus. The Assistant Director serves as the principal administrative advisor to the Executive Director and acts as a liaison between BAERS, the College of Agriculture and Food Sciences, and central university administrative offices.
Primary responsibilities include:
Managing fiscal activities for BAERS, including budget preparation, monitoring, reconciliation, reporting, and long-range planning across multiple funding sources; Planning, organizing, and directing business and procurement functions, including purchasing, travel authorizations, reimbursements, consultant agreements, P-card activity, vendor payments, and requisitions; Ensuring compliance with university, state, and sponsor policies related to fiscal operations, procurement, grants, payroll, and personnel actions; Reviewing expenditures for allowability, accuracy, and compliance; Coordinating audits, fiscal reviews, and internal controls; Preparing fiscal and budgetary reports for BAERS leadership, CAFS, and external agencies; and assisting with the planning, preparation, and budget verification of faculty, staff, OPS, student, and temporary appointments. Coordinating personnel actions with CAFS Human Resources and central Human Resources; Overseeing payroll certification and warrant distribution; Supporting workforce planning and staffing allocation decisions; Providing pre- and post-award fiscal support for contracts and grants, including proposal budget development, expenditure tracking, cost-share documentation, compliance monitoring, and coordination with principal investigators and sponsored programs offices; and developing, implementing, documenting administrative and fiscal policies, procedures, and reporting requirements. Coordinating inventories and maintaining records of BAERS property, land, buildings, and equipment; Coordinating administrative aspects of facilities maintenance, leases, memoranda of understanding, land-use agreements, and operational logistics for research activities, events, and community engagement; Representing BAERS at meetings in the absence of the Executive Director, serving on committees as appointed, and acting as the primary administrative liaison between BAERS and CAFS business, finance, human resources, procurement, and sponsored programs units. Minimum Qualifications Bachelor's degree in an appropriate area of specialization and four years of related experience; or master's degree in an appropriate area of specialization and two years of related experience. Recommended Competencies Demonstrated knowledge of Generally Accepted Accounting Principles; Ability to compile, review, reconcile, and analyze complex financial data for accuracy and compliance; Knowledge of public-sector financial operations, grants administration, and higher education policies; Ability to interpret and apply federal, state, and university regulations; Knowledge of budgeting, procurement, payroll coordination, personnel actions, and fiscal reporting procedures; Ability to manage multiple funding sources and prepare accurate financial reports; Experience supporting contracts, grants, sponsored programs, cost-share documentation, and compliance monitoring; Knowledge of grant pre- and post-award administration, including proposal budget development, sponsor compliance, expenditure tracking, cost-share documentation, reporting requirements, and coordination with principal investigators and sponsored programs offices. Strong written and verbal communication skills; Ability to establish and maintain effective working relationships with faculty, staff, administrators, external partners, vendors, and agency representatives; Strong organizational and time management skills with the ability to manage multiple priorities and deadlines; Ability to work independently, exercise sound judgment, and maintain confidentiality; Experience coordinating administrative operations for a research, Extension, agricultural, or public-sector organization; and Ability to support facilities, property, inventory, leases, MOUs, and land-use agreement documentation. Pay Plan This is an Administrative and Professional (A&P) position.
