This role will centralize all accounting, billing, invoicing, and financial reporting functions—ensuring accuracy, consistency, and efficiency across both businesses. The right person will bring structure to our financial systems, improve cash flow processes, strengthen reporting, and provide leadership with clear financial visibility for better decision-making. Core Responsibilities Billing, Invoicing & Accounts Receivable Manage all client billing across both companies Generate and send invoices accurately and on schedule Oversee recurring billing for weekly and monthly maintenance clients Ensure Aspire (landscaping software) is fully set up and optimized for billing Monitor and manage accounts receivable Follow up on past-due invoices and late payments Maintain clean, up-to-date customer account records Payment Processing & Customer Accounts Manage and update credit cards on file Process client payments (ACH, credit card, checks) Ensure proper application of payments to invoices Handle declined payments and proactively resolve issues Maintain organized documentation of all transactions Expense Tracking & Receipts Management Collect, organize, and record all receipts and expenses Ensure proper coding and categorization of expenses Maintain accurate records for job costing and reporting Work closely with field and office teams to capture all expenses Financial Reporting & P&Ls Prepare monthly Profit & Loss (P&L) statements for both companies Ensure accuracy and completeness of all financial data Provide clear, timely reporting to leadership Assist in identifying trends, discrepancies, and opportunities for improvement Financial Oversight & Review Coordination Work alongside leadership to review monthly financials Support internal review processes Ensure financials are clean, accurate, and ready for decision-making Tax Preparation & Compliance Organize and prepare financials for year-end tax filings Coordinate with CPA for tax preparation and submission Ensure compliance with all financial and tax requirements Software & Systems Management Lead full implementation and optimization of Aspire for: Billing Invoicing Job costing Reporting Improve workflows and create efficient financial processes Maintain accurate data across all systems Key Outcomes for This Role Clean, accurate, and timely financials every month Strong cash flow with minimal outstanding receivables Fully functional and efficient Aspire billing system Organized, audit-ready financial records Clear visibility into company performance Qualifications 3+ years of experience in accounting, bookkeeping, or financial operations Strong understanding of P&L statements and financial reporting Experience with accounting or job-costing software (Aspire experience is a plus) Highly organized with strong attention to detail Ability to manage multiple priorities across two companies Proactive, solution-oriented mindset
