Job Description
We are seeking an Representative Payee Assistant to join our team. As an Assistant, you will be responsible for supporting the daily operations of the Representative Payee Program. 1. Comply with SMILES policies and procedures as outlined in the Personnel Policy Manual. 2. Proactively contribute to the health and well-being of SMILES company culture and team. 3. Communicate effectively and timely with supervisor as needed, including any needs, issues, and concerns that occur. 4. Maintain professional customer service in person, on the telephone, and in emails while working with consumers, case managers, and community members. 5. Successfully complete program training. 6. Complete general office duties for the program (i.e. data entry, phone calls, typing, filing, mailing, faxing, e-mailing, purging, photo copying etc.) as directed. 7. Scan program mail as requested. 8. Provide all program services, timelines, documentation, reports, meetings and other requirements accurately and on time according to SMILES and program funding policies and guidelines, management directives and legislative mandates to stay in compliance. 9. Complete program intakes and create consumer folders. 10. Update all Representative Payee consumer annual paperwork, as needed. 11. Prepare weekly bank deposits for Representative Payee consumers. 12. Monitor and respond to consumers calling in on the Rep Payee Line and forward messages. 13. Prep consumer bills on time and mail weekly. 14. Complete consumer case closures and address changes. 15. Document Rep Payee fees and MA deductibles and send to Executive Director. 16. Maintain organized files. Ensure all forms and documents are all up-to-date, completed accurately, and scanned. 17. Collaborate with coworkers, research resources, curriculum, and other necessary information to assist enhance job knowledge, sharing with co-workers as appropriate. 18. Attend staff meetings. 19. Perform other duties as assigned.
Experience:
- High school diploma or equivalent required
- 1+ years of administrative or assistant experience preferred
- Proficient in Microsoft Office Suite
- Excellent communication and organizational skills including conflict resolution skills This is a part-time position with benefits available after a probationary period.
