Job Description

Position Summary The Fiscal Assistant is responsible for supporting the organization's accounts payable functions through the accurate processing of invoices, vendor payments, financial documentation, and procurement-related activities. This position ensures compliance with federal, state, and agency funding requirements while maintaining organized financial records and supporting audit readiness. The Fiscal Assistant must demonstrate strong attention to detail, organizational skills, confidentiality, and the ability to work effectively in a fast-paced environment. The position is dedicated to Accounts Payable functions only. Accounts Receivable responsibilities will be managed separately by the Finance Director to ensure proper segregation of duties and internal controls. Key Responsibilities
  • Process vendor invoices, contractor payments, and expense reimbursements accurately and timely
  • Verify invoices against purchase orders, contracts, and supporting documentation prior to payment approval
  • Ensure compliance with federal grant regulations, including 2 CFR Part 200 (Uniform Guidance), and all agency funding requirements
  • Code invoices appropriately to the general ledger and applicable funding sources
  • Prepare and process check runs, ACH payments, and electronic disbursements
  • Monitor accounts payable schedules to ensure timely vendor payments and avoid late fees or penalties
  • Research and resolve invoice discrepancies and vendor concerns in a timely and professional manner
  • Maintain vendor files, including W-9s, contracts, insurance certificates, and supporting documentation
  • Assist with procurement documentation and compliance requirements
  • Maintain organized physical and electronic financial files and records for audit readiness
  • Assist with preparation and distribution of IRS Form 1099s for vendors and contractors
  • Reconcile vendor statements and resolve discrepancies as needed
  • Monitor budget line items and notify the Finance Director of potential concerns or overages
  • Support internal and external audits by providing requested documentation and financial records
  • Ensure confidentiality and proper segregation of duties within financial processes
  • Assist program staff with procurement compliance and documentation requirements
  • Perform invoice and general ledger data entry
  • Generate purchase orders when necessary
  • Respond to vendor inquiries in a professional and timely manner
  • Assist the Finance Director with additional fiscal and administrative duties as assigned
Pay:
$34,000.00 - $36,000.00 per year
