Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring they feel valued from the moment they arrive Answer multi-line phone systems promptly, directing calls efficiently and courteously using proper phone etiquette Manage appointment scheduling and calendar management to coordinate meetings and appointments effectively Handle data entry, filing, and document proofreading to maintain accurate records and support administrative processes Assist with office management tasks such as supply inventory, mail distribution, and maintaining a clean reception area Utilize computer skills including Microsoft Office, Google Workspace, and basic bookkeeping software like QuickBooks to support administrative functions Provide customer support by addressing inquiries, offering information about services or procedures, and supporting overall client satisfaction Requirements Proven office experience with strong clerical skills including data entry, filing, and proofreading Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and familiarity with multi-line phone systems Strong customer service skills with professional phone etiquette and a friendly demeanor Bilingual abilities are highly desirable to assist diverse clientele effectively Experience in office management or administrative support roles such as personal assistant or medical/dental receptionist is preferred Knowledge of office equipment operation including typing speed and time management skills Ability to handle confidential information discreetly while maintaining professionalism at all times Join us as a Front Desk Agent to be the welcoming voice of our organization!
