In this vital role, you will manage front desk operations, provide exceptional customer service, and help create a seamless, elevated patient experience from the moment a patient walks through our doors. This position is ideal for someone who enjoys aesthetics, skincare, wellness, hospitality, and relationship-building. Your enthusiasm, professionalism, organizational skills, and ability to multitask will contribute to a positive and supportive environment for both patients and team members. This paid position offers an exciting opportunity to develop your administrative and patient coordination skills in a fast-paced, growing medical aesthetics practice. Duties Greet visitors, clients, and staff with a warm and professional demeanor, ensuring they feel welcomed and valued Manage multi-line phone systems, texts, emails, and scheduling inquiries with efficiency and excellent phone etiquette Coordinate appointments, provider schedules, and calendar management using EMR systems, or other platforms Assist with consultation flow, patient follow-up, treatment planning, and package or membership recommendations Support retail skincare sales and patient education on products and services Follow up with leads, inquiries, consultations, and existing patients to help maintain strong patient relationships and retention Perform data entry, filing, document proofreading, and maintain accurate patient and office records Assist with office management duties including supply inventory, mail distribution, and basic administrative support Process payments and support daily office operations Maintain a clean, organized, and elevated front desk and waiting area environment Support overall patient satisfaction by helping create a luxury-level experience and positive atmosphere throughout the practice Requirements Proven experience in office management, administrative support, customer service, or front desk roles Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tasks Prior experience with multi-line phone systems and professional phone etiquette is essential Previous experience in a medical spa, dermatology office, dental office, wellness clinic, plastic surgery, luxury retail, or hospitality setting is highly preferred Bilingual abilities are highly desirable to serve the diverse needs of our patient population Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong communication and interpersonal skills with a polished and professional appearance Sales confidence and comfort discussing skincare products, memberships, treatment plans, and services Social media familiarity and comfort communicating through text and online platforms is a plus Personal assistant, concierge, hospitality, or customer support experience will be considered an advantage Demonstrated ability to handle confidential information responsibly and maintain professionalism at all times What We're Looking For We are looking for someone who is: dependable and proactive, detail-oriented, personable and confident, team-oriented, and passionate about helping patients look and feel their best.
