Position Purpose & Job Duties:
At Blossom Children's Center, we provide the highest quality therapy services to children impacted by autism spectrum disorders, as well as their families. By bringing together a team of highly qualified, supported, and passionate professionals who utilize evidence-based interventions and curriculum, we improve the lives of the families we serve. Each employee at Blossom will be a part of a collaborative team that values each member. As a Receptionist/Front Desk Associate, you will be expected to perform the following duties and responsibilities. Maintain a professional presence and greet each guest upon arrival Answer all incoming and outgoing phone calls and transfer to appropriate team members within a timely manner Inform appropriate team members and/ or departments via our digital communication platform of client cancellations, arrivals, late arrivals, and schedule changes as reported Organize and maintain numerical system for pick-up/drop-off of clients Utilize our electronic medical records system and/or communication modalities to communicate important information Take payments for invoices from parents Maintain an organized and clean lobby and front desk environment Monitor foot traffic in and out of the center through a buzzer system Ensure all client arrivals and departures are handled with haste Ensure all staff and clients/visitors complete health screenings appropriately (e.g., temperature checks, sign-in, HIPAA forms) Ensure all hourly staff sign-in and update clock in system if it is incorrect Call families of clients on an as needed basis to communicate in-center updates (e.g., early dismissal due to illness, accidents, and/or client specific information) Send and receive confirmation of faxes for clinical & administration staff Scan and upload HIPAA sensitive material Keep a constant supply of resources ordered and stocked for the clinic Monitor and alert staff via our digital communication of deliveries/appointments (e.g., mail, materials, interviews, meetings) Assist with additional administrative tasks on an as needed basis Open/Close center as needed Keep up to date on current information involving the center Specific opening tasks: Be the first person in the center in the morning to unlock the doors and get the front desk ready for the day before clients or staff arrive. Have the technicians and clinicians sign in sheets/COVID screenings ready for the day to keep track of staff attendance. Check voicemails and messages via our digital communication platform to keep track of client and clinician absences. Print materials for behavior technicians and clinicians as they prepare to start their morning sessions (scheduled time with clients). Assist behavior technicians with clocking in for the day or with any missed punches as needed. Ensure guests fill out HIPAA forms and COVID screening forms. Make sure clients Behavior Plans are available for staff who are covering clients to ensure safety for clients and clinicians. Ensure additional copies are made of all data sheets needed throughout the day. Notify clinicians of parent arrivals for parent meetings. Notify the Human Resources Specialist of people arriving for interviews and new hires arriving for training. Answer the phone and direct calls to the proper person or take detailed messages and send the messages to the correct recipients. Give interested parents information about the center and our programs if they are interested in getting services for their children. Periodically tidy up the front desk and lobby areas as it can get messy quickly with the high volume of people coming into the center in the mornings.
Specific closing tasks:
Ensure all clients are picked up and out of the building Make sure all lights and devices are off in the sensory room. Make sure receptionist area is clean and tidy for the next day If garbage in lobby, staff lounge or staff bathrooms are full take the garbage out. Print front desk resources that are low on stock are for the following day. Log out and power off all devices in the front area Check with supervisor or closing BCBA for any remaining tasks
Minimum Qualifications:
High school diploma Friendly and professional demeanor Must maintain respect and confidentiality for all clients No past criminal history
Desired Qualifications:
