Front Desk Concierge Holisma Healthcare | Battle Ground, WA | Part-Time • 24 hrs/week
ABOUT HOLISMA
Holisma Healthcare is a naturopathic medicine clinic in Battle Ground, WA, founded by Dr. Mikailah Grover, ND. We focus on preventing and treating chronic disease through holistic, root-cause care. We are a small, growing practice committed to accessible, patient-centered medicine.
THE ROLE
Part-time Front Desk Concierge. Approximately 24 hours per week across 3 days. Primary focus is patient experience and clinic operations, with secondary responsibilities in marketing support. This role has a growth path toward full-time as the practice expands.
RESPONSIBILITIES
Patient Communication Answer calls, return voicemails, and respond to texts and patient portal messages in Jane App Handle new patient inquiries: explain services warmly and guide them through booking Send appointment reminders and follow up on no-shows and cancellations with care, not pressure Redirect all clinical questions to Dr. Grover — you're the filter, not the clinician Scheduling & Intake Manage the appointment calendar in
Jane App:
booking, rescheduling, and maintaining accuracy Send intake forms prior to appointments and follow up on incomplete submissions Confirm every appointment is fully prepped: forms complete, room ready, Dr. Grover informed Payments & Billing Collect payment at checkout via card processing (we're a cash-pay practice) Generate and send superbills for patients submitting to insurance or HSA/FSA independently Follow up on outstanding balances with professionalism and empathy Office Operations Maintain the waiting area and front desk: tidy, stocked, and presentable — because the space patients walk into sets the tone for their healing Manage light supply ordering: track inventory, place orders, receive deliveries Handle incoming mail, packages, and faxes Handle routine operational decisions independently — use good judgment, solve what you can, and loop Dr. Grover in only when it truly requires her attention Marketing & Brand Support (~25%) Design and schedule social media posts in Canva using direction and content from Dr. Grover Build and send email campaigns in Mailchimp Respond to DMs, comments, and Google reviews — be the warm voice of the brand online Bring your own eye and ideas — this isn't a copy-paste role, it's a grow-into-it role
QUALIFICATIONS
Required Warm, professional manner with patients in person and by phone Comfortable with anxious or unwell patients; able to remain calm and grounded Strong follow-through and attention to detail Able to work independently and manage priorities without frequent direction Clear written and verbal communication Genuine interest in holistic health and naturopathic medicine Preferred Experience in a medical, wellness, or patient-facing environment Proficiency with Jane App or comparable EHR/scheduling software Experience with Canva, Instagram, and Mailchimp Comfortable learning new software independently
COMPENSATION AND SCHEDULE
Pay:
$22/hour
Schedule:
3 days/week, approximately 8 hours per day
Location:
In-office, Battle Ground, WA Start date: Within 2 to 4 weeks of interview
