This role serves as the first point of contact for clients, drivers, and visitors while coordinating and streamlining front desk and logistics operations.
Key Responsibilities:
Customer Service:
Greet visitors, clients, and drivers in a professional and friendly manner. Handle inquiries via phone, email, or in person, providing accurate and timely information. Address customer concerns and escalate issues to appropriate departments when necessary.
Logistics Coordination:
Assist in scheduling deliveries, pickups, and other logistics activities. Communicate with drivers and warehouse staff to ensure efficient operations. Update tracking systems with shipment statuses and maintain accurate records.
Administrative Duties :
Manage front desk operations, including incoming and outgoing correspondence. Maintain and organize files, logs, and documentation related to logistics. Prepare shipping documents, labels, and invoices as required.
Data Entry and Reporting :
Enter shipment data into logistics software accurately and promptly. Generate and distribute reports related to inventory, shipments, and customer interactions.
Office Coordination :
Ensure common areas are clean, organized, and stocked with necessary supplies. Order, maintain, and manage office and lunchroom supplies for the common areas. Coordinate with internal departments to ensure seamless communication.
Required Skills and Qualifications:
Education :
High school diploma or equivalent; additional certifications in logistics or office administration are a plus.
Experience :
Previous experience in customer service, logistics, or administrative roles preferred.
Technical Skills :
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and logistics management software.
Communication :
Bilingual (English & Spanish) with strong verbal and written communication skills.
Organization :
Excellent multitasking and time-management abilities.
Problem-Solving :
Ability to resolve customer and operational issues efficiently.
Preferred Qualities:
Familiarity with logistics and supply chain terminology. Strong interpersonal skills and the ability to work collaboratively in a team. A proactive approach to handling challenges and anticipating operational needs.
