This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth office management. The ideal candidate will be energetic, organized, and possess excellent communication skills to create a positive first impression for visitors and callers alike. You will handle multi-line phone systems, assist with administrative tasks, and support various office functions to keep our environment efficient and professional. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive Bilingual, Spanish and English Manage multi-line phone systems with professionalism, answering inquiries and routing calls efficiently using proper phone etiquette Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages Schedule appointments, collect copays and balances, check in and check out patients, and give instructions to patients from the doctor or management team. Perform clerical duties such as faxing, calling pharmacies, scanning and updating patient records in the electronic medical records (EMR). Support office management activities including supply inventory, document organization, and general administrative support Experience Prior office experience or administrative experience is highly preferred, especially in roles such as medical or dental receptionist or personal assistant roles Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and EMR entry tools Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent customer service skills with the ability to handle inquiries professionally via phone or in person Bilingual abilities are a plus to serve diverse client needs effectively Experience with clerical tasks such as proofreading, filing, and calendar management enhances your fit for this role Familiarity with office management tools like office phones systems, time management software, and basic bookkeeping is advantageous Join us to be part of a vibrant team where your organizational talents and customer service skills will shine!
