Job Description

Job Overview We are seeking an energetic and organized office staff member to join our team and to be a welcoming face of our organization to mainly assist with answering phone calls. We are starting with a summer position (Monday-Friday 8am-3pm) and if candidate works out, a permanent position may be offered. In this vital role, you will serve as a welcoming voice for clients, and team members, ensuring a smooth and professional experience. Your proactive approach, excellent communication skills, and ability to manage multiple tasks efficiently will help foster a positive environment and support the daily operations of our office. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a dynamic team. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Must be able to work well with others Manage multi-line phone systems, directing calls accurately and courteously Handle incoming correspondence, emails, and inquiries with clarity and professionalism Assist in maintaining organized office duties Support office management tasks online Provide exceptional customer service Utilize Microsoft Office Suite and Google Workspace for daily administrative functions Perform clerical duties including typing, data entry, scanning, and maintaining office records Able to handle clerical duties in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Experience with multi-line phone systems and phone etiquette standard Excellent organizational skills with the ability to prioritize tasks efficiently Demonstrate customer service skills with a friendly yet professional demeanor Strong typing skills along with attention to detail for proofreading and data entry tasks Ability to manage time effectively in a very busy office.
