Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist/Office Assistant/Chiropractic Assistant to join our dynamic chiropractic and wellness team. This vital role combines front desk responsibilities, insurance coordination, office management, and chiropractic assistant support duties to ensure smooth daily operations and exceptional patient care. The ideal candidate is a proactive communicator, highly organized, and comfortable handling administrative, financial, and patient-support tasks in a fast-paced healthcare environment. Responsibilities Greet patients and visitors warmly, providing excellent customer service and ensuring a positive first impression Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently Schedule appointments, manage provider calendars, and confirm visits using electronic scheduling systems Verify patient insurance eligibility and benefits prior to appointments Assist with insurance billing tasks, including entering charges, submitting claims, and following up on unpaid or denied claims as needed Collect patient payments at time of service, process co-pays, deductibles, and balances, and provide receipts Explain basic insurance and payment policies to patients in a clear and courteous manner Perform data entry, filing, and document proofreading to maintain accurate patient and office records Assist with basic bookkeeping tasks and daily financial reconciliation using office or billing software Support office management duties including supply inventory, mail distribution, and maintaining a clean, organized reception area Provide clerical support such as copying, scanning, and preparing patient charts and documents Maintain HIPAA compliance and patient confidentiality at all times Demonstrate excellent phone etiquette and professional communication in all interactions Assist providers with chiropractic assistant duties as needed to support patient flow and clinical efficiency Prepare treatment rooms and assist with patient setup for chiropractic, acupuncture, and therapy appointments Operate therapeutic equipment and assist with therapies including electrical stimulation, ultrasound, decompression, red light therapy, shockwave therapy, Indiba therapy, and other modalities as trained Monitor patients during therapies and communicate patient concerns or changes to providers promptly Clean, sanitize, and maintain therapy equipment and treatment areas according to office protocols and safety standards Assist with patient exercises, stretches, and wellness instructions under provider direction Help maintain inventory and supplies related to therapies and treatment rooms Support providers with patient flow, room turnover, and additional clinical support duties as needed throughout the day Educate patients on basic therapy expectations, scheduling recommendations, and home care instructions as directed by providers Flex between front desk, administrative, and clinical support duties based on daily office needs Access and manage patient communication systems and assist with contacting patients regarding scheduling changes, appointment reminders, and office communication as needed Assist with scheduling, collecting payments, and administrative support for provider-specific appointments and services Participate in office marketing events, community outreach activities, and promotional events as needed (employee will be compensated for required events) Utilize downtime productively by assisting with office therapies, equipment usage, organizational tasks, patient communication, and other office support duties as assigned Experience & Qualifications Prior front desk, administrative, or receptionist experience preferred; medical or chiropractic office experience strongly preferred Previous chiropractic assistant, rehabilitation aide, therapy assistant, or clinical support experience is a plus Familiarity with insurance verification, billing processes, and payment collection in a healthcare setting strongly preferred Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with electronic health records (EHR) or chiropractic software is advantageous (training provided if needed) Comfortable handling financial transactions and discussing payment responsibilities professionally Experience with multi-line phone systems and high-volume call environments Strong organizational skills with the ability to prioritize tasks and manage time effectively Clerical skills including accurate typing, data entry, filing, and document management Customer service experience demonstrating professionalism, empathy, and problem-solving skills Comfortable learning and assisting with therapeutic modalities and patient care procedures in a fast-paced healthcare environment Ability to multitask and adapt between administrative and patient-care support responsibilities throughout the workday Strong interpersonal skills and ability to work collaboratively within a multidisciplinary healthcare team Why Join Our Team?
