In this vital role, you will manage front office operations, serve as the first point of contact for visitors and callers, and ensure smooth administrative workflows. Responsibilities Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the facility Operate multi-line phone systems efficiently, answer inquiries, transfer calls, and take detailed messages Manage appointment scheduling, calendar coordination, and maintain accurate records using Microsoft Office and Google Workspace tools Handle incoming and outgoing mail, manage filing systems, and perform data entry tasks with precision Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and proofreading documents for accuracy Provide exceptional customer service by addressing questions promptly and professionally Maintain a tidy reception area and ensure all administrative tasks are completed in a timely manner with excellent time management skills Qualifications Proven experience in front desk or administrative roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Exceptional phone etiquette and customer support abilities; bilingual skills are a plus for effective communication with diverse populations Previous experience with office management tasks such as calendar management, filing, proofreading, and bookkeeping is highly desirable Demonstrated ability to handle sensitive information discreetly while maintaining professionalism Personal assistant or office support experience that showcases strong time management and organizational skills Join us to be part of a vibrant team dedicated to delivering outstanding service while honing your administrative expertise!Pay:
