Since 1954, we have grown from a cozy 12-seat neighborhood spot into a vibrant hospitality family. Today, our family of businesses proudly includes Hart's Catering and Frog Rock Tavern , located right down the road in downtown Meredith. As we continue to expand and serve our guests across all of our brands, we are seeking an experienced, organized, and self-motivated professional to join our core family business and manage our vital back-office infrastructure. Position Overview We are looking for a trusted financial and administrative professional to oversee our complete financial data entry, daily office administration, and internal human resources. Reporting directly to restaurant management, you will play a dual role in keeping our numbers precise and our employee compliance seamless across our local brands. This is a stable, high-responsibility position perfect for a detail-oriented professional with a strong background in both full-cycle accounting and payroll operations.
Core Responsibilities Financial & Bookkeeping Management Month-End & Year-End Close:
Independently manage the complete month-end and year-end closing processes, ensuring all ledger accounts are fully reconciled and balanced.
Financial Statements:
Generate, analyze, and present accurate monthly and year-end Profit & Loss (P&L) statements, Balance Sheets, and Statement of Cash Flows for management review.
Ledgers:
Manage all accounts payable (AP) and accounts receivable (AR).
POS Reconciliation:
Record, reconcile, and build reports for Toast POS sales, deposits, and payments.
Audits:
Reconcile all bank statements and credit card statements accurately.
Payroll & Taxes:
Process weekly payroll and manage tax/loan payments in compliance with state and federal laws.
Inventory & Gift Cards:
Track restaurant inventory financials and maintain secure tracking of gift card redemptions.
CPA Collaboration:
Maintain pristine financial files throughout the year to ensure a seamless handoff of finalized year-end packages directly to our outside CPA for tax filing.
Human Resources & Visa Compliance Onboarding:
Manage the onboarding process, including benefits enrollment and background check verification.
Visa Administration:
Oversee the legal application and ongoing compliance tracking for H-2B and J-1 nonimmigrant employee visas, operating directly under the guidance of our recruiter and legal team.
Employee Relations:
Act as the primary administrative contact for payroll, unemployment inquiries, and employment verifications.
Office Operations & Support Administration:
Handle data entry, filing, mail distribution, and office supply reordering.
Scheduling:
Organize meetings and align calendars for vendors and restaurant management.
Licensing:
Conduct periodic internal audits to ensure restaurant permits and local licenses remain up to date.
Required Qualifications Experience:
5+ years of professional administrative experience in an office setting.
Software Mastery:
3+ years of professional hands-on file setup and daily management using QuickBooks Online.
Tech Savvy:
Strong proficiency across the Microsoft Office Suite.
Soft Skills:
Exceptional written and verbal communication, discreet handling of confidential data, and excellent multitasking capabilities. Preferred Qualifications Prior accounting experience within a restaurant or high-volume hospitality environment. Direct experience operating hospitality tech like Toast POS, Tripleseat, or Sling Scheduling. What We Offer (Benefits)
