Job Description

Position Description The Grant Specialist in the Office of Sponsored Programs and Research (OSPR) provides comprehensive administrative, programmatic, and operational support for grant development, outreach activities, and internal funding programs. This role supports pre-award and limited post-award functions, including coordination of SEED grant programming, event planning, procurement, and data tracking. The position serves as a liaison among faculty, staff, students, and administrative units to facilitate grant-related activities, outreach efforts, ensuring efficient operations and alignment with institutional priorities. Essential Duties and Responsibilities Grant and Administrative Support
  • Coordinate invoicing, purchase orders, and procurement activities.
  • Balance and validate credit card purchases and payments.
  • Maintain office supplies and operational needs for OSPR.
  • Manage and route help desk tickets related to grant and office support. Event Planning and Outreach
  • Coordinate logistics for outreach events and professional development activities.
  • Set up and provide on-site support for events involving faculty, staff, and students.
  • Assist with workshops, training sessions, and institutional engagement initiatives SEED Grant Program Support
  • Assist in developing and implementing training programs for SEED grant cohorts.
  • Support marketing and communication efforts for SEED grant opportunities.
  • Identify procurement needs and coordinate purchasing for SEED grant activities.
  • Provide administrative and programmatic support to SEED grant awardees.
  • Assist with annual review and updates of SEED grant guidelines and outreach materials. Data Tracking and Reporting
  • Track and maintain data on grant submissions and awards.
  • Maintain records and documentation to support reporting and decision-making.
  • Assist with the preparation of internal reports and summaries of grant activity. Office and Equipment Management
  • Support general office operations and equipment management.
  • Ensure efficient workflow and coordination across OSPR functions. Collaboration and Support
  • Work collaboratively with faculty, staff, and administrative offices across campus.
  • Provide customer service and support for grant-related inquiries.
  • Assist in improving processes related to grant support and program delivery. Qualifications Minimum Qualifications
  • Bachelor's degree from an accredited institution or equivalent experience.
  • Experience in administrative support, grants, or higher education operations.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, Excel, and administrative systems. Preferred Qualifications
  • Experience supporting grant programs or research administration.
  • Familiarity with internal funding programs (e.g., SEED grants).
  • Experience with event planning and program coordination. Knowledge, Skills, and Abilities
  • Ability to manage multiple tasks and deadlines effectively.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and in a team environment.
  • Strong interpersonal and customer service skills. Work Environment
  • On-campus, office-based work environment.
  • May require participation in events and outreach activities.
  • Occasional peak workload periods aligned with program deadlines.
