Job Description

Job Posting Guidance & Financial Administrative Assistant Vicksburg High School May 20, 2026 Position Summary We are seeking a dedicated individual to provide comprehensive clerical and administrative support to the high school office as a Guidance & Financial Administrative Assistant at Vicksburg High School . This position is benefit eligible working 7:00-3:30pm, Mon-Fri, student days only plus two weeks before school year starts and one week after school year ends, approximately 40 hours per week. An additional five summer work days may be scheduled at the discretion of the building principal.
Responsibilities:
Guidance Office Support:
  • Provide front-line customer service to students, parents and staff.
  • Maintain student records, transcripts and documentation in compliance with state and federal regulations.
  • Assist counselors with scheduling, appointments, college and military visits and student data management.
  • Process enrollment, withdrawals, and records requests.
  • Maintain curriculum guide, report cards and other state reporting.
  • Support testing coordination and reporting (SAT, PSAT, state assessments, etc.)
  • Prepare correspondence, reports and other documents.
Financial & Administrative Support:
  • Manage collection and tracking of student fees, fines and payments.
  • Maintain accurate financial records and assist with account and credit card reconciliations.
  • Process purchase orders, invoices and reimbursements in accordance with district procedures.
  • Support budgeting and tracking of guidance department and athletic and student activity funds.
  • Coordinate deposits and work with the district business office as needed. General Administrative Duties
  • Answer phones, manage office traffic and respond to inquiries.
  • Maintain filing systems (electronic and physical)
  • Coordinate meetings, events and communications.
  • Ensure confidentiality of student and financial information at all times.
  • Other duties as assigned by the building principal and/or their designee.

  • High school diploma is required; associates degree or higher preferred.
  • Previous experience in an educational setting or administrative office preferred.
  • Experience with financial recordkeeping or booking strongly preferred.
  • Proficient in office software (Google, Word, Access, Excel, Skyward, or other student information systems etc.).
  • Strong organizational, communication and interpersonal skills.
  • Ability to multitask and work in a fast-paced environment with periods of high volume and deadlines.
  • Knowledge of FERPA and confidentiality standards preferred.
  • Must demonstrate sociability and warmth in attitude toward students, other employees, and supervisors.
  • Must pass background checks and comply with state and district requirements for working with students. Physical Requirements
  • Ability to stand, bend, reach, and move about the building and campus to assist students.
  • May require an employee to handle frequent interactions with students, staff and families.
  • May require an employee to sit or stand for extended periods of time.
