Monday to Friday, 830am-4pm ======================================== Good News Realty Group is a real estate brokerage in Meridian. We're small, fast-moving, and we run on tight systems. Our two-agent production team handles both buyers and sellers and works hand-in-hand, and right now they're growing faster than they can keep up with the phone, the inbox, and the task list. That's exactly why this role exists. You'd be the operational backbone behind the agents: the person who makes sure nothing slips, every client feels taken care of, and the people closing deals get to stay focused on clients instead of admin.
WHAT YOU'D ACTUALLY DO
This is a hands-on seat, not a desk where work comes to die. On any given week you'd: Be the front line for communication. Own the inbound and outbound email, phone, and texts. Answer routine questions from approved materials, route anything that needs an agent, and make sure no message goes unanswered. Keep past clients warm.
Run the past-client follow-up program:
check-ins, anniversary and review outreach, and the relationship touches that keep referrals coming. (This is a gap we're specifically hiring to close.) Plan client events and quarterly gifting. Coordinate client appreciation events, closing gifts, and a quarterly client-gift program that keeps people feeling looked after long after the closing table. Own the CRM. Manage our database (Follow Up Boss): enter and update contacts, route leads to the right agent fast, maintain pipelines and smart lists, and keep the data trustworthy. Support every transaction file. Keep contract-to-close files organized and complete, assemble and deliver agent-approved paperwork, and keep the agents ahead of what's due so nothing slips between contract and closing. Run point on scheduling and calendars. Own and keep the team's calendars current, book and confirm appointments and closings, and coordinate inspectors, appraisers, photographers, and vendors as directed by the agents. Prep client deliverables. Assemble packets, market-analysis data, reports, and listing materials so they go out polished and on time. Handle listing administration. Gather listing information, support MLS data entry, and coordinate marketing and launch tasks. Keep the office running. The dozens of small operational things that quietly make or break a brokerage.
WHAT WE'RE LOOKING FOR
Ruthless attention to detail. Dates, names, and dollar amounts are right the first time. Calm under deadlines. Real estate runs on hard dates that don't move.
A people-first communicator:
warm on the phone, clear in writing, and reliable in follow-up. Every message gets a clear, kind reply, even when the answer is no. A protector of the agents' time. You filter what's noise, surface what's urgent, and keep the people closing deals focused on clients instead of admin. Preemptive. You see the problem coming and handle it before it ever lands on an agent's desk. Discreet. You handle confidential client and financial information with care.
Genuinely comfortable with technology:
CRMs, Google Workspace, and picking up new tools fast. Organized enough to juggle several files at once without dropping one. A self-starter who'd rather build a repeatable system than do the same manual task twice.
NICE TO HAVE
(NOT
REQUIRED
) Experience building or running automations with Claude Code or Codex is a major plus. We run on custom tooling, and someone who can help maintain and extend our systems (not just use them) is a true force multiplier. Prior experience as a transaction coordinator, real estate assistant, or brokerage admin. Familiarity with Idaho real estate timelines and paperwork (RE-21 / RE-25, IREC basics). Experience with Follow Up Boss or a comparable
