The Care Coordinator plays an important role in creating a welcoming and responsive experience from a client's first interaction with Simply Thrive through their ongoing care. This position assists clients with scheduling, general practice questions, intake paperwork, insurance and financial questions, and connecting with the appropriate clinician. Because this is a highly client-facing role, timely, compassionate, and professional communication is the top priority . The Care Coordinator also supports day-to-day office operations, administrative projects, marketing and community outreach, and other practice needs. The ideal candidate is someone who enjoys helping people, communicates well, stays organized while managing multiple priorities, takes initiative, and is comfortable working in a fast-paced behavioral health environment. Key ResponsibilitiesClient Communication & Support Serve as a primary point of contact for prospective and current clients. Answer incoming phone calls during scheduled working hours between 9:00 AM and 5:30 PM, Monday through Friday. Monitor and respond to voicemail messages and update office voicemail greetings for holidays and office closures. Monitor client inquiries submitted through the practice's website and other communication channels. Respond promptly and professionally to client emails, with an expectation that messages are addressed within 2-4 business hours during operating hours. Follow up by phone with prospective clients who have not responded to initial outreach. Answer general questions regarding scheduling, services, insurance, intake requirements, and financial responsibilities. Maintain warm, professional, and empathetic communication with clients and families. New Client Intake & Scheduling Respond to new client inquiries and complete initial screening to help identify an appropriate clinician. Enter and maintain accurate prospective and new client information within practice systems. Track new client inquiries, outreach attempts, scheduling status, and intake progress. Schedule new client appointments within the electronic health record (EHR). Send appointment confirmation and welcome information, including office location and required intake paperwork. Follow up with clients who have not completed required intake documentation at least 24 hours before their appointment. Communicate relevant presenting concerns and intake information to the assigned clinician. Maintain an accurate understanding of clinician availability and capacity for new clients. Check in with clinicians regularly regarding availability and scheduling needs. Office & Administrative Support Help maintain a clean, organized, and welcoming environment for clients, families, and staff. Keep the lobby and client-facing areas organized and appropriately stocked, including the coffee bar, client resources, flyers, and other materials. Help ensure offices and common spaces remain neat and ready for use. Maintain appropriate handling, shredding, and disposal of confidential documents in accordance with HIPAA and practice policies. Scan and organize documents to support the practice's paper-light workflow. Assist with faxing, document management, and other administrative functions. Assist with insurance benefit verification as directed by the Director of Operations. Assist with staff onboarding and administrative onboarding tasks. Maintain and update internal resources, including frequently asked questions, procedures, and staff resources. Assist the Director of Operations and Executive Director with additional administrative or operational projects as needed. Intern Support In coordination with the
Director of Operations:
Help orient and train administrative interns. Assist interns with understanding assigned responsibilities and weekly priorities. Monitor completion of assigned administrative projects and tasks. Help coordinate interns' schedules and daily responsibilities. Train interns on appropriate phone etiquette, email communication, office organization, and administrative procedures. Communicate questions, concerns, or performance issues to the Director of Operations. Marketing & Community Outreach Assist with maintaining Simply Thrive's social media presence and scheduled content. Develop engaging and relevant social media content. Create basic social media graphics, flyers, and other marketing materials. Coordinate and publish practice blog content. Assist with updates to the company's external and internal websites. Assist with Google Business Profile posts and other digital marketing activities. Support leadership with basic Google Ads updates when requested. Help develop engaging video or interview-based content featuring clinicians, services, practice updates, and mental health education. Conduct community outreach to physicians, referral partners, and other organizations by phone, email, or in person. Support marketing initiatives designed to strengthen Simply Thrive's community presence and referral relationships. Professionalism when handling confidential or sensitive information. Initiative and the ability to identify what needs to be done without requiring constant direction. Comfort communicating with clients who may be experiencing emotional distress or seeking behavioral health services. Ability to collaborate effectively with clinicians, administrative staff, interns, and leadership. Willingness to learn new technology and practice systems. Flexibility as the needs of a growing behavioral health practice evolve.
Qualifications Required:
High school diploma or equivalent. Strong written and verbal communication skills. Basic computer and technology proficiency. Ability to effectively use or learn Google Workspace, electronic health records, scheduling systems, and other practice technology. Ability to maintain confidentiality and follow HIPAA requirements.
Pay:
$18.00 - $24.00 per hour Expected hours: 40.0 per week
