Position Overview:
The Treatment Coordinator is responsible for guiding patients from diagnosis to commitment by: Building trust and rapport. Clearly explaining the recommended treatment. Presenting financial options confidently. Supporting patients through decisions without pressure. This role is front-facing, detail-driven, and performance-based. Who We're Looking For You WILL be a great fit if you are: Naturally bubbly, warm, and engaging. Confident speaking with patients about treatment and finances. Organized, proactive, and detail-oriented. Comfortable working with goals, metrics, and accountability. Calm under pressure and solution-focused. Open to coaching, feedback, and continuous improvement.
Core Responsibilities:
Patient Communication & Case Acceptance:
Build genuine rapport before discussing treatment. Clearly explain treatment recommendations using patient-friendly language. Present benefits and long-term value — not just cost. Address objections with empathy and education. Maintain a strong follow-up system for unscheduled treatment. Avoid passive language like "let us know when you're ready."
Financial Coordination:
Review insurance benefits accurately (PPOs, deductibles, limitations). Present estimates clearly and confidently. Offer and explain payment options (cash and finance options). Collect payments and deposits at time of scheduling. Ensure financial policies are followed consistently.
Organization & Systems:
Maintain accurate treatment plans and notes in Open Dental. Track case acceptance and unscheduled treatment. Coordinate with clinical team for same-day and future scheduling. Follow internal SOPs for treatment coordination and insurance workflows. Communicate effectively with front desk, assistants, and providers.
Performance Expectations:
Success in this role is measured by: Case acceptance rates. Follow-up completion. Accuracy of financial presentations. Professional communication. Team collaboration. Adherence to office systems and protocols.
Preferred Experience:
Dental treatment coordination experience strongly preferred. Familiarity with Open Dental is a plus. Strong understanding of dental procedures and terminology. Experience with implants, cosmetic, periodontal, and comprehensive care is ideal.
