Job Description
Heart of Wellness is a team-oriented integrative medicine practice in Tumwater. We're hiring a Clinical Care Coordinator to support our physicians and patients — scheduling, medical records, and communication with patients, clinicians, and outside offices. Is this you? A strong work ethic — you value dependability, consistency and trust in the workplace as much as we do Excellent communication — clear and warm with patients, direct and clear with coworkers Professional demeanor — steady and composed, calm under pressure and easy to work alongside Genuinely comfortable with technology — picks up new systems fast and isn't thrown when something changes Organized and detail-oriented — understanding filing systems, ranking your daily to-dos by urgency and importance so high-impact work gets done first, and having an appreciation for placement and tracking Problem solving — knowledge and understanding of your resources when something does not go as planned, and the importance of relying on your team members to come up with solutions Discretion — we exercise and value HIPAA laws and honor privacy in the workplace Previous medical office experience is not required but is a plus What the role involves Scheduling patient appointments and helping manage physician schedules, including physicians' on-call rotations Managing incoming phone calls and patient portal requests, and responding to email inquiries Answering non-clinical patient questions about scheduling, accounts, insurance, orders, and referrals Preparing for upcoming visits by making sure physicians have outside records, labs, and imaging results Relaying communications between patients and physicians on prescriptions, referrals, labs, and imaging, as directed by the physician Scanning and faxing requisitions and referrals to and from outside offices, as directed by physicians Coordinating with pharmacies, labs, imaging centers, and specialty offices at the physician's direction Processing incoming and outgoing medical records requests Coordinating FMLA, workers' compensation, and short-term disability paperwork Ordering and stocking medical supplies and exam rooms Supporting provider licensing, credentialing, and lab company coordination Acting as liaison between physicians and lab companies, including resolving patient lab billing discrepancies Other duties as assigned. We're a small clinic and everyone pitches in to keep things running. Schedule and working conditions Full-time, 35-40 hours per week during our office hours of 8:00 AM to 6:00 PM, Monday through Friday. Hours may vary with the needs of the team. On-site at our Tumwater clinic. The role involves extended periods at a workstation using a computer and phone, frequent stairs, and occasional lifting of up to 25 pounds. Heart of Wellness is a scent-free clinic. Because of patient and staff sensitivities, you'll need to be scent-free — no perfume or scented body products — both to interview and to work here.
